Maryland Wellness LLC is seeking an Admissions Coordinator to manage client registration, act as the first contact for referrals, and support enrollment across programs. The role focuses on timely admissions, insurance verification, and guiding clients through the welcome process.

The position requires coordinating with outreach, addressing barriers to care, and ensuring accurate data entry in the EHR. This role supports office operations and maintains compliance with privacy regulations.

Qualifications

• Respond promptly to referrals and register new clients.
• Serve as primary contact for referral partners and coordinate with Outreach.
• Track referral sources to strengthen pipelines.
• Educate clients on services and enroll across service lines.
• Greets and checks-in clients on arrival.
• Attend outreach events for on-site registrations.

Responsibilities

• Verify insurance and coordinate insurance needs to start care.
• Complete required paperwork including consents, billing information, and ROIs with privacy compliance.
• Explain billing policies and patient rights.
• Introduce clients to Maryland Wellness programs and complete the welcome packet.
• Schedule assessments after registration and reschedule no-show appointments.
• Manage admission projects assigned by leadership.
• Identify and resolve barriers to care (transportation, insurance, documentation, etc.).
• Use internal and external resources to ensure equitable access.
• Match clients with clinicians based on needs and preferences.
• Coordinate internal referrals for comprehensive care.
• Monitor clinician capacity and share trends with leadership.
• Enter and update client information in the EHR and maintain compliant records.
• Log all communications with clients or referral sources in the EHR.
• Support office needs including cleaning, events, and minor maintenance.
• Open and close offices daily.
