Job summary

CardVault by Tom Brady in Boston is hiring a Data Entry & Purchase Order Specialist. The role involves entering purchases into Cin7, processing invoices, and building precise purchase orders for store managers.

You will verify quantities and conditions, coordinate with the purchasing team, and maintain digital inventory records. Some remote flexibility and a consistent weekly schedule are available.

Qualifications

• Prior experience in data entry, inventory management, or similar roles preferred.
• Familiarity with Cin7 preferred.
• Understanding of sports cards and trading card products is a plus.
• Excellent attention to detail and accuracy, especially with numbers and item details.

Responsibilities

• Enter all purchased singles and products into Cin7 with high accuracy.
• Process invoices from wholesalers including Topps, Panini, GTS, Fanatics, Southern Hobby, etc.
• Create and maintain accurate purchase orders for store managers.
• Verify card quantities, conditions and item details on arrival.
• Coordinate with purchasing to resolve discrepancies in condition, pricing, or missing info.
• Maintain organized digital inventory records.
• Upload product images from manufacturers to Shopify.
• Prepare products for listing, storage, or transfers for new openings.
• Ensure singles follow CardVault's formatting and naming conventions.
• Support daily operations and ad hoc duties as needed.

Description

As the Data Entry & Purchase Order Specialist a typical day might include the following:

• Entering all purchased singles and products into Cin7 with a high level of accuracy
• Processing invoices from Topps, Panini, GTS, Fanatics, Southern Hobby, and other wholesalers
• Building and maintaining accurate purchase orders for store managers to receive accurate shipments
• Verifying card quantities, conditions, and item details upon arrival
• Coordinating with purchasing team to resolve any discrepancies involving condition, pricing, identification, or missing information
• Maintaining organized and up-to-date digital records of inventory
• Uploading product images from manufacturers or internal sources to Shopify
• Assisting with preparing products for listing, storage, or transfers for new store openings
• Ensuring all singles follow CardVault's internal formatting standards and naming conventions
• Supporting daily operations tasks as needed to ensure efficient workflow
• Other duties as assigned

Requirements

This job might be for you if you demonstrate the following abilities and meet the following qualifications:

• Prior experience in data entry, inventory management, or similar administrative roles preferred
• Familiarity with Cin7 preferred
• Understanding of sports cards and TCG products is a strong plus
• Familiarity or experience with singles identification, grading terminology is a plus
• Excellent attention to detail and accuracy
• Ability to handle high-volume data entry with accuracy and speed
• Reliable and able to commit to a consistent weekly schedule (some remote flexibility)
• Interest in trading cards or collectibles
