Qualifications

• Minimum education: Bachelor's with 12 accounting credit hours; or an Associate's in Accounting; or related Associate's with 12 accounting hours.
• Experience with governmental or higher education asset capitalization is preferred.
• GAAP knowledge and strong analytical skills are preferred.

Essential Job Duties

As the Capital Asset Accountant, you will serve as the operational asset management specialist and subject matter expert for university staff, reporting to the Capital Asset Accounting (CA) Manager. Operating under general direction, you will serve as the primary frontline liaison between central finance and campus departments, ensuring accurate physical tracking, financial recording, and regulatory compliance for university-owned capital assets throughout their lifecycle. In this role, you will provide guidance and support to campus departments while helping ensure the University’s capital assets are accurately managed and accounted for.

Capital Asset Recording & Inventory Control

• Identify, tag, and evaluate newly acquired, transferred, or donated equipment to capture physical attributes (make, model, serial number) for entry into the financial system.
• Monitor tracking reports to ensure timely tagging of assets in compliance with University and UNC System Office policies.
• Oversee the annual physical equipment inventory process, track departmental submissions, investigate missing assets, and resolve inventory discrepancies.

Financial Analysis, Journal Entries & Reconciliation

• Analyze general ledger transactions, purchase orders, invoices, and journals to evaluate capitalization criteria, allocations, and asset valuations.
• Prepare general ledger journal entries to reclassify, adjust, and correct financial data across the asset life cycle (acquisition, depreciation, retirement).
• Reconcile State Surplus sales reports with the Asset Management System and investigate discrepancies.

Compliance, Reporting & Audit Support

• Examine general ledger transactions to prevent and correct misclassifications, ensuring accurate reporting on University financial statements, Federal reports, and cost reports.
• Compile and format statistical data using Microsoft Excel to assist journey-level accountants and management with audit requests, KPI reporting, and ad-hoc financial analysis.
• Monitor internal controls and departmental certifications during inventory audits to ensure regulatory alignment.
• Assist in preparing year-end accrual schedules, depreciation analyses, and financial statements in compliance with Federal, State, and University regulations.

Campus Support, Training & Customer Service

• Serve as the primary point of contact for Campus Asset Coordinators, guiding standard processes for asset acquisition, maintenance, transfer, and disposal.
• Conduct one-on-one and departmental training on utilization, asset management policies, and inventory procedures.
• Identify departments struggling with inventory management or compliance, providing remedial support and escalating complex or non-standard issues to higher-level staff.

Qualifications

Preferred Qualifications

• Familiarity with capital asset management and capitalization standards, particularly in a governmental or higher education environment.
• Experience using PeopleSoft Financials and Asset Management modules.
• Working knowledge of Generally Accepted Accounting Principles (GAAP).
• Analytical and problem-solving skills, with the ability to apply accounting principles and regulatory requirements when evaluating and classifying capital asset acquisitions.
• Demonstrated analytical skills and the ability to exercise independent judgment in classifying acquisitions to ensure compliance with Federal, State, and University regulations.
