Job summary

Vallen Distribution is seeking a Payroll Specialist to manage the full payroll cycle across Canadian provinces, ensuring compliance and timely processing. You will administer bi-weekly payroll, audit hours, and handle incentives, commissions, and year-end tax slips in a collaborative HR environment.

Ideal candidates have 3–5 years of payroll/HR Shared Services experience, ADP Workforce Now proficiency, and a CPA-friendly approach to confidential data.

Qualifications

• Bachelor's degree preferred in a related field with 3–5 years in Payroll/HR Shared Services.
• 3+ years of experience with payroll and time systems, specifically ADP Workforce Now.
• Proficient in Microsoft Office and Adobe Acrobat with advanced Excel skills.
• High degree of professionalism, integrity and confidentiality in handling data.
• Ability to meet deadlines, multitask and coordinate with resources.
• Customer service orientation with keen attention to detail.
• Ability to resolve moderately complex issues.
• Data entry with high accuracy and sound judgment.
• Experience in a 400+ employee payroll environment.
• Canadian Payroll Association PCP/CPM certification preferred or equivalent experience.

Responsibilities

• Administers & processes bi-weekly payroll, including hours auditing, and paying incentives/commissions.
• Maintains and updates time systems.
• Prepare year-end tax slips and government filings (e.g., T4s, T2200s).
• ADP Workforce Now Reporting.
• Assist with payroll process improvements.
• Review associate records for new hires, current staff and terminations.
• Prepare manual checks as needed.
• Facilitate off-cycle payrolls for special payments (e.g., Bonus).
• Ensure accurate payroll updates for hires, terminations, leaves and pay rate changes.
• Establish efficient payroll and benefit processing with standardization.
• Handle Government Annual Returns (e.g., BC EHT, ON EHT).
• Process and reconcile remittances (source deductions, RRSPs/DPSPs/TFSAs).
• Maintain vacation entitlements and sick/lieu time records.
• Collaborate with HR and other departments.
• Perform other duties as assigned.
