Job summary

Charter College seeks a Campus Support Specialist to blend administrative duties with Admissions support. You will greet customers, manage calls and video interview scheduling, conduct campus tours, and ensure smooth day-to-day operations across our ePod campuses.

The role emphasizes multitasking, organization, and strong written and verbal communication. It is a full-time, 40-hour week with an evening shift, located on campus in the United States.

Qualifications

  • Minimum 2 years combined work experience in business, customer service, education or sales.
  • Some college or degree preferred.
  • Data entry and report writing experience required.
  • Ability to multi-task and prioritize duties.
  • Excellent written and verbal communication skills.
  • Proficient in Word, Excel, Outlook and database software.

Job description

The Campus Support Specialist job is a combination between administrative duties and assisting the Admissions team using dynamic engagement with prospective students. The Campus Support Specialist must be knowledgeable of basic administrative duties, handling customers effectively on the phone and in person and should have the ability to multi-task, prioritize duties and exhibit excellent communication skills both written and verbal. This role deals with a higher variety of activities due to being housed at our ePod campuses.

The Campus Support Specialist reports directly to the Campus President with a dotted line to the Admissions Support Manager.

DUTIES AND RESPONSIBILITIES

The Campus Support Specialist will be responsible for, but not limited to, the duties and tasks listed below:

  • Greet all customers in friendly manner
  • Answer main phone lines, route calls and messages accordingly, set-up and direct video interviews and appointments
  • Provide campus tours to prospective students
  • Follow all procedures as outlined in department manuals and posted directives
  • Manage staff Outlook calendars by tracking the status of all video appointments/interviews
  • Post and send mail daily, as needed
  • Accept and post student payments
  • Keep reception area neat and stocked with information
  • Check inventory for print materials, and office supplies weekly. Replenish as needed
  • Make sure all marketing material on location is up to date
  • Request all orders (office supplies, SWAG, scrubs, etc) through Sourcing and Procurement, as well as inventory all incoming orders
  • Keep video rooms stocked with necessary marketing material, and prepped for use
  • Administer/proctor the SLE entrance exam, as well as pull and log all test scores for the exam
  • Coordinates and completes all pre-orientation duties including but not limited to: orientation packets, sign-in sheets, name tags, food, room set-up, and clean up
  • Adhere strictly to accrediting agency and U.S. Department of Education guidelines
  • Address and route student concerns to appropriate support staff or manager for resolution
  • Provides ongoing communication and support to Campus President, and Admissions Support Manager
  • Assist in community outreach events
  • Participate in campus events
  • Assist in arranging offsite events in the community
  • Track and audit all leads ensuring proper assignment and follow up
  • Complete daily reconciliation and audit of leads and Admissions activities
  • Assist with transcript requests for high school or GED at applicable campuses
  • Assist with college transcript requests as necessary
  • Provide sit updates to required personnel daily during start week
  • Update CVue records accurately and in a timely manner as well as uploading pertinent documentation needed for Admissions and campus
  • Other duties as assigned by Campus President, and Admissions Support Manager
JOB QUALIFICATIONS AND SKILLS
  • 2 years minimum combined work experience in business, customer service, education or sales
  • Some college or degree preferred
  • Data entry and report writing experience required
  • Ability to multi-task, prioritize duties
  • Demonstrate excellent communication skills both written and verbal
  • Proficient computer skills in Word, Excel, Outlook, database software and use of Internet
  • Dynamic, punctual, responsible, ethical and a team player
  • Full-time, 40 hour work week. PM Shift.
COMPENSATION
  • Non-Exempt - hourly position
  • $16.00-19.60/hr
  • Compensation dependent on experience, knowledge and education level
