Job description

Position Overview

This position is responsible to plan, organize, and supervise the development and operations of the Academic Records area for an assigned campus. The Campus Registrar provides consistent, friendly support to students, faculty and staff, assists with the maintenance of academic records, enforces policies, and follows established procedures of the College.

Key Responsibilities
  • Provide quality student service, demonstrating the College’s commitment to thoughtful, equitable treatment of all students in registration and academic records, and ensuring confidentiality and accuracy of student records.
    • Select, train, evaluate, schedule and supervise campus Academic Records staff.
    • Assure integrity, security and accuracy of student records (statuses, graduation dates, grades, attendance, disciplinary actions).
    • Verify that students meet all enrollment/admission requirements, including background checks.
    • Process graduate records to facilitate graduation and eligibility for NCLEX® examinations.
    • Provide oversight for processing all readmission students.
    • Provide timely notification to students of changes to their status (probation, dismissals, etc.).
    • Coordinate and assist other campus teams to meet student needs.
    • Contact students regarding attendance, performance and progression, documenting interactions in CampusVue.
    • Provide support and assistance in student intake, registration, waitlists, repeats, scheduling adjustments, uniform ordering, clinical compliance, site‑specific clinical requirements, and transcript requests.
  • Provide professional assistance and support to the Academic Leadership of the campus.
    • Provide reports and analysis on enrollment, registration, attendance, grades and related data.
    • Coordinate with Student Success personnel for student support resources.
    • Assist with budget planning using enrollment data.
    • Relay student feedback and coordinate improvements.
    • Participate in campus academic meetings.
    • Assist faculty and staff with CampusVue interfaces.
  • Assure compliance with all policies and procedures outlined in the Student Catalog, Faculty Handbook and the College Policy & Procedure Manual at the campus level.
    • Provide information on policies and procedures to students and staff when requested.
    • Work with students and Clinical Education directors to ensure compliance with immunizations, CPR, drug screenings and other requirements.
  • Support College/Campus goals.
    • Monitor campus performance per the Institutional Effectiveness Plan and assist in action plans.
    • Lead the Academic Records staff toward campus goals.
    • Track and report student interactions, placement, and other campus goals.
  • Assist in the production of class and examination schedules that meet faculty and student needs and ensure classroom assignments support quality instruction.
    • Work with program directors to create schedules, calendars and room grids.
    • Maintain classroom calendars and course schedules throughout each term and update faculty in CampusVue as needed.
  • Other duties:
    • Participate in campus activities that interface with students (orientation, open house, graduation). Attendance at a minimum of three graduations per year is expected.
    • Perform other duties as assigned.
Position Requirements
  • Experience/Education: Bachelor’s degree in a business‑related field required; three years of college or academic experience preferred.
  • Knowledge, Skills, and Abilities:
    • Familiarity with student systems such as CampusVue, Canvas, Unitime, Verified Credentials.
    • Knowledge of current college catalog, policies, procedures, and state licensure requirements.
    • Knowledge of registration and records procedures and systems.
    • Knowledge of supervising staff.
    • Ability to handle multiple responsibilities and visualize solutions.
    • Ability to communicate orally with coworkers, customers, clients, or the public.
    • Ability to work cooperatively with employees, management, and students.
    • Ability to work under pressure and meet deadlines.
    • Ability to work in a fast‑paced environment.
  • Physical Requirements: Ability to walk, stand, sit for long periods; speak concisely; operate a computer and other office equipment. Travel may be required.
  • Degree of Supervision: Minimal supervision.
