Job summary

Levine School of Music seeks a Campus Coordinator to serve at the front desk, assisting students, parents, faculty, and visitors for a welcoming campus experience.

You will support the Operations Manager with registrations, payments, and scheduling, while coordinating campus events and providing tech assistance as needed.

Qualifications

  • 2+ years of experience in nonprofit, educational, arts, or customer-facing environment (or equivalent as a student in higher education).
  • Excellent customer service and interpersonal skills.
  • Strong verbal and written communication abilities.
  • Highly organized and detail-oriented; able to manage multiple tasks and meet deadlines.
  • Comfortable working independently and in a team.
  • Proficiency with Microsoft Office (Word and Excel); able to learn new systems quickly.
  • Experience with registration or scheduling software (ActiveNet) is a plus.
  • Ability to troubleshoot basic technology issues is a plus.
  • Ability to lift/move chairs and tables up to 35 pounds and move large instruments for campus events.

Responsibilities

  • Greet and assist students, parents, faculty, and visitors at the front desk.
  • Answer phones, return voicemails, provide information about Levine's programs and events.
  • Support prospective families with placement, registration and course inquiries.
  • Process payments and resolve registration issues using ActiveNet.
  • Assist with data entry in ActiveNet.
  • Maintain knowledge of Levine’s offerings as listed online and in marketing materials.
  • Coordinate campus bookings and attendance for faculty.
  • Check and update phone lists, mailboxes, and shared documents.
  • Submit piano tuning requests and other facility-related support items.
  • Provide administrative assistance to faculty and students regarding technology and inquiries.
  • Assist Operations Manager with special projects and daily tasks.
  • Support on-site logistics for concerts, recitals, lectures, and campus events.
  • Prepare and distribute recital programs.
  • Coordinate warm-up rooms, equipment setup, and signage.
  • Provide staffing coverage for campus events during evenings/weekends.

Job description

The Campus Coordinator is a key member of Levine Music’s campus team, providing vital in-person support for faculty, students, and families. Serving as the welcoming presence at the campus, the Campus Coordinator ensures an excellent customer experience and smooth daily operations. This position supports the Operations Manager by assisting with front desk responsibilities, new student placement, registration, campus logistics, and event support. The ideal candidate will be enthusiastic, detail-oriented, and possess strong communication and organizational skills. An interest in music and education is preferred.

Duties and Responsibilities (including but not limited to):

Salary range: $40,000 – $43,000
