The Business Systems Analyst serves as the critical link between City Wide Property Services' operational teams and its custom-built Software-as-a-Service (SaaS) platform. This position bridges business operations, technology, and process improvement by partnering closely with frontline employees, operational leadership, and the Chief Technology Officer (CTO) to analyze business processes, translate operational needs into scalable system solutions, and drive continuous improvement across the organization.
This is a highly collaborative, hands-on role responsible for understanding how work is performed in the field and within the office, identifying operational inefficiencies, and recommending technology-driven solutions that improve productivity, accuracy, and user adoption. The Business Systems Analyst develops and documents business requirements, evaluates existing workflows, supports system enhancements, and helps ensure the company's software platform evolves to meet operational and business objectives. Success in this role requires strong analytical thinking, problem-solving abilities, effective communication, and the ability to translate complex business processes into practical, scalable system improvements that enhance the overall employee and customer experience.
Responsibilities
Business Process Discovery & Analysis
- Work directly with the operation teams (field staff, service coordinators, managers) to understand day-to-day workflows, business logic, pain points, and recommend process improvements
- Document current-state processes and identify inefficiencies, workflow bottlenecks, process gaps and recommend solutions to improve efficiency, consistency, and system performance.
- Translate operational needs into clear system requirements and technology-driven improvement opportunities
Workflow Design & Optimization
- Design and document future-state workflows aligned with system capabilities and business goals
- Create clear SOPs, process maps, and diagrams to standardize operations
- Ensure workflows are scalable, repeatable, and aligned across all departments
System Enhancement & Collaboration
- Partner with the CTO to recommend enhancements to the internal SaaS platform
- Translate business needs into functional requirements for development
- Participate in solution design, testing, and rollout of new features
Adoption & Change Management
- Collaborate with team leads to drive adoption of new processes and system updates
- Identify resistance points and develop practical solutions to improve usage
- Assist with training, onboarding materials, and real-world rollout strategies
Documentation & SOP Development
- Own the creation and maintenance of SOPs across all departments
- Ensure documentation is clear, usable, and aligned with actual workflows
- Reinforce consistency across teams (aligned with internal efforts around SOP standardization)
Data Analysis & Insights
- Perform ad hoc data analysis to support operational decisions
- Identify trends, performance gaps, and opportunities for improvement
- Support reporting needs tied to efficiency, service delivery, and system usage
Other Duties
- Utilize company-provided software, email platforms, communication tools, and mobile applications for efficient communication and task management.
- Fulfill additional duties as delegated by management.
Requirements
- Minimum of two to ten years of experience in Business Analyst, Systems Analyst, Operations Analyst, or a similar role
- Strong experience mapping workflows, writing SOPs, and documenting processes
- Ability to translate non-technical workflows into system requirements
- Experience working with SaaS platforms, internal tools, or operational systems
- Exceptional communication and interpersonal skills, with the ability to engage professionals across all organizational levels.
- Analytical mindset with ability to interpret data and recommend improvements
- Experience with process mapping tools (Lucidchart, Visio, Miro, etc.)
- Possession of a clear driving record (Motor Vehicle Record required).
