Job Summary:
The Business Support Specialist will provide flexible technical, operational, and administrative support across HHNT's business units, with an emphasis on supporting engineering and environmental science teams. This position is intended for a proactive, people-oriented problem solver who can step in where needed, assist staff across offices, and help keep projects, teams, and internal processes moving forward. The ideal candidate will be above average in using technology, Microsoft 365 tools, AI-enabled resources, and digital systems to improve efficiency, organize information, and support better work products. The role is not limited to executive assistant responsibilities and may include support for technical documentation, project coordination, office operations, internal initiatives, AI-assisted process improvements, cross-office collaboration, and, when appropriate, recruiting-related support. This position may require up to 10% of travel a year to HHNT office locations, as needed, to provide hands-on support and strengthen communication across teams.
Qualifications: High school diploma or equivalent required; bachelor's degree or related technical/administrative coursework preferred. Prior experience in administrative support, operations support, project coordination, technical documentation, office management, or a related role preferred. Advanced proficiency with Microsoft 365 tools, including Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and OneDrive. Comfortable learning and using AI-enabled tools, digital systems, databases and workflow platforms to improve organization, efficiency, and work quality. Strong written and verbal communication skills, with the ability to interact professionally with technical staff, leadership, clients, vendors, and office teams. Highly organized and detail-oriented, with the ability to manage multiple priorities, track deadlines, follow through on assignments, and maintain accurate records. Proactive problem solver with a service-minded attitude, sound judgement, and willingness to step in where support is needed. Ability to handle confidential company, employee, candidate, and client information with professionalism and discretion. Familiarity with technical reports, regulatory documents, proposals, permit applications, or engineering/environmental consulting work is a plus. Ability and willingness to travel up to 10% a year to HHNT office locations, as needed.
