What We Are Looking For
We are seeking a Business Support Coordinator to bring their A-game to help us save the world one package at a time! The role of the Business Support Coordinator requires an individual who is friendly, highly organized and possesses excellent interpersonal skills. They will be the first point of contact for our facility and will provide support to help drive the success of the company. The ideal candidate will have a high level of efficiency and be able to handle multiple tasks in a fast-paced environment.
What You Will Do
- Greet and serve all clients and customers as they enter the building
- Maintain top-level customer service and help grow relationships with customers
- Ensure the administrative building is tidy and presentable
- Coordinate safety training, new hire paperwork, and documentation of employees as needed
- Liaison between the plant manager and all internal/external clients
- Understand and process customer purchase orders, determine raw material availability to satisfy the order, and purchase additional raw material from approved vendors if necessary
- Ensure an approved budget is kept when ordering raw materials, office, and plant supplies
- Review internal sale quotations for pricing and volume against purchase orders to ensure accuracy in communicating effectively with the customer any discrepancies
- Validate and order consumables and plant supplies according to production needs
- Generate memos, emails, and reports when appropriate (i.e. shipping/receiving, purchase orders, sales, month-end data, etc.)
- Create configurations and customizations of NetSuite to meet the business needs
- Working closely with the Assistant Plant Manager to create work orders driving production schedules to meet on-time deliveries
- Develop and carry out an efficient documentation and filing system for both paper and electronic records in compliance with company and state regulations
- Responsible for excellence in data entry within the NetSuite system
- Strong understanding of billing, payments, A/R, general ledger, revenue recognition, planning, audit, and reporting
- Schedule appointments and facilitate internal staff meetings on-site
- Assist the plant managers in generating and updating financial records as requested
- Respond promptly to internal and external customer needs
- Supports and complies with all company policies and safety requirements
- Performs other related duties as assigned
What You Need To Succeed
- Associate degree or equivalent preferred
- High School diploma required
- 3-5 years of office administration experience with accounting responsibilities
- SAP experience preferred
- Excellent organizational skills
- Ability to prioritize tasks and multitask
- Strong time-management skills
- Proficient in Microsoft Office Suite and NetSuite
- Strong Excel skills including the ability to calculate quotes
- Experience as an Office Administrator, Receptionist, or a similar role
- Possess an exceptional level of organizational, analytical, and project management skills
- Exposure to packing warehouse environment preferred
