Job summary

NHS Ayrshire and Arran is recruiting for a Business Support Clerical Assistant based at The Johnnie Walker Bond, Kilmarnock. The role focuses on providing administrative support to the Community Blood Service Administration Team and acting as a professional first point of contact for patients and visitors.

You will join a busy NHS environment, delivering accurate clerical tasks, maintaining confidentiality, and supporting colleagues during periods of pressure.

Qualifications

  • SVQ2 in Business/Administration or equivalent.
  • Experience in Health and/or Social Care environment.
  • Proficient in Microsoft Office and data management.
  • Experience with management information systems (MIS).
  • Excellent communication and interpersonal skills.

Responsibilities

  • Provide comprehensive clerical support to the Community Blood Service Administration Team.
  • Be the first point of contact for patients and visitors, handling enquiries promptly and professionally.
  • Maintain confidentiality and adhere to organisational policies and procedures.

Position

An exciting opportunity has arisen for a Business Support Clerical Assistant within our Business Support Service based at The Johnnie Walker Bond in Kilmarnock. This post will be support the Ayrshire Community Blood Service Administration Team. This post is offered on a permanent basis.

Hours

36 hours per week. Monday - Friday

Job share will be considered for this post.

What You Will Do

As a Business Support Clerical Assistant based within The Johnnie Walker Bond, you will provide a comprehensive, community-orientated administrative and clerical support to the Community Blood Service Administration Team.

The role of the post holder within the team is instrumental in ensuring the flow of communication, from a variety of sources projecting a positive, professional image for the whole function and in particular when acting as first point of contact for the service.

To be the first point of contact for patients and visitors / callers to the service, ensuring that all enquiries are dealt with promptly and efficiently, providing a positive image, ensuring confidentiality is maintained at all times and adhere to all organisational policies and procedures.

The post holder will be required to work flexibly to cover staff absences, and any periods of particular pressure.

Knowledge, Training And/or Experience Required For This Post
  • SVQ2 in Business / Administration or equivalent;
  • Working experience of Health and / or Social Care environment;
  • Used and maintained management information systems (MIS) including databases and spread sheets;
  • Familiar with Microsoft Office systems;
  • Provided a range of clerical supports including word processing, photocopying, filing and diary management;
  • Excellent communication and interpersonal skills - both written and verbal;
  • Experience of working within an NHS or Social Care Administration environment;
  • A good attention to detail when producing / processing information;
  • Demonstrate an understanding of the services provided by the Partnership;
  • Able to liaise effectively and build relations with a range of stakeholders;
  • Good organisational and time management skills;
  • Ability to work on own initiative;
  • Ability to work to deadlines.
  • Experience of note taking would be desirable;
  • Good time management skills.
