Qualifications

  • Experience: 5 years in management, business operations and administration or staff support functions; substitutions allowed for graduate level education.

Responsibilities

Position Information

Directs and coordinates comprehensive administrative and management operations, including budgeting, accounting, legislative analysis, and core support services such as facilities management, equipment procurement, and contract administration. Serves as a liaison with other agency divisions and districts. Housed in the Communications Division, you will work closely with internal teams such as conference governance and creative services to facilitate organizational objectives including contract management (Purchase Orders & Inter agency Contracts), invoicing and payments, billing worksheets, and budgets adjustment requests.

  • Advises on routine through complex contract questions in daily support of Division contract users.
  • Coordinates and monitors contract administration, asset management and related programs.
  • May assign and review the work of others
  • Forecasts short and long-term projections including support from multiple funding sources and confers with staff to recommend priorities and future goal planning.
  • Analyzes incoming correspondence, reports and other materials related to administrative areas; coordinates with appropriate personnel to initiate proper action.
  • Coordinates purchasing, warehousing and other administrative support functions with support center staff or Division staff; monitors budget activities.
  • Coordinates the compilation and preparation of operational and financial reports and analyses; tracks progress and adverse trends; makes recommendations.
  • Coordinates, processes and executes contracts and payments.
  • Plans, coordinates, develops and implements the organization budget and provides financial advice to the staff.
  • Performs other job responsibilities as assigned

Minimum Qualifications:

Education: Bachelor's Degree in Accounting or Business Administration related field. Relevant work experience may be substituted for degree on a year per year basis. Substitutions for Minimum Qualifications

Experience: 5 years management, business operations and administration and/or staff support functions. (Experience can be satisfied by full time or prorated part time equivalent). Related graduate level education may be substituted for experience on a year per year basis.
