Job description

Our Vision: Hawk is where the best workers power the world’s most successful projects. We are united by a common mission: to deliver services and technology that fundamentally change how skilled workers and the businesses they serve get hard work done.

Job Description:

As a member of the Alaska Data and Information Technology (D&IT) team, this role is responsible for maintaining D&IT assets, managing software and hardware licenses, and facilitating the procurement of IT services, software, and equipment across the Alaska region. The role supports the D&IT Manager through budget tracking, cost coding, and reporting on budgeted versus actual spend. It leads the end-to-end procurement process for software and hardware, maintains the software asset register, and provides data, cyber security, and risk assessments prior to entering into binding software and service agreements. The role also manages all D&IT software and service invoicing — including the creation of Service Entry Sheets (SES) and timely receipt approvals in SAP to ensure prompt payment. Additional responsibilities include management of mobile services accounts and associated cost coding.

Responsibilities:

  • Manage software, hardware, and services procurement processes, including arranging quotes, submitting Purchase Order Requests, and receipting goods
  • Ensure appropriate quantities and licensing models are purchased through ongoing monitoring and optimization
  • Maintain relationships with D&IT vendors and re-sellers; support annual contract revisions and renewals
  • Negotiate scopes of work and pricing in coordination with the Contracts Team
  • Manage hardware/software/service agreements and track renewal dates and obligations
  • Assist in warranty claims and ensure all supporting invoice documentation is available

Budget Analysis, Cost Control & Financial Reporting (Non-Labour)

  • Coordinate annual IT budget preparation with the Digital & IS Manager's direct reports
  • Submit AFE requests and create purchase requisitions through SAP with proper coding and approvals
  • Process and reconcile invoices, ensuring accuracy and timely vendor payment
  • Monitor IT spend against budget, identify variances, and report on cost performance
  • Identify and track cost reduction opportunities across the IT asset portfolio
  • Prepare detailed budget versus actual spend analysis

IT Asset Management & Lifecycle Tracking

  • Maintain accurate inventory records for all IT assets across Alaska operations (Juneau, Nuiqsut, and North Slope remote locations) coordinating with local resources to each location
  • Ensure asset records in ServiceNow are current and reconciled with physical inventory
  • Conduct periodic asset audits to maintain inventory accuracy
  • Collaborate with the D&IT team on infrastructure lifecycle planning and refresh schedules

Skills and Qualifications:

  • Bachelor's degree in Business, Finance, or Accounting, or equivalent practical experience
  • Must be eligible and authorized to work in the United States
  • Must have employment eligibility verified by a completed Form I-9

Highly Regarded:

  • Minimum of 3 years' experience in a Corporate IT position (candidates with experience in finance who meet an appropriate level of IT knowledge will be considered)
  • Minimum 3 years of procurement or supply chain experience
  • Previous experience working in an Oil & Gas environment
