DISTINGUISHING CHARACTERISTICS:

  • Performs intermediate, and standard level work and is the second in the Business Services Administrative Assistant job series.

GENERAL PURPOSE OF JOB:

Performs a variety of routine and complex clerical, administrative, and support duties for the (DHS) Department of Human Services. Routinely assists other program areas within DHS as requested. Monitors and ensures appropriate communication is available in the lobby areas at the Glenwood Springs and Rifle Department of Human Services. May greet and assist customers, provide details about the services provided by DHS, and recommend additional community resource options. May assist customers with the completion of applications and other required paperwork.

ESSENTIAL JOB FUNCTIONS:

  • Under close supervision, performs a variety of routine clerical, reception, support, and administrative duties.
  • As needed, assist customers at the front desk by providing program information, answers to their questions, additional community resources and assistance with filling out paperwork. Follows State application processes and guidelines. Enters these into Laserfiche or routes these to technicians or case managers.
  • Uses computer and software applications to accurately type and edit basic correspondence; enter data; retrieve data; search databases; conduct research; create documents; and send emails.
  • Assists other DHS program areas that are short on staff and have an immediate need for assistance that business services staff can provide.
  • Provides translation/interpretation services as requested. Translates documents, posters, brochures from English to Spanish.
  • Scans applications and other documents into Laserfiche.
  • Answers and routes phones calls. Provide directions to and/or contact information for other resources within the community. Processes incoming, outgoing and relay mail. Prints, copies, assembles, distributes, and file documents. Accepts and process all incoming payments for all programs.
  • Distribute offices supplies, packages, and mail to all program areas. Keeps all supply and work rooms organized and supplied with office products and first aid supplies.
  • Issues EBT cards.
  • Completes State notary training.
  • Works closely with other program areas to ensure State policies and procedures for applications and forms are up to date.

  • Education: High school diploma or equivalent.
  • Experience:
  • Two years of administrative or reception experience with proficient computer skills in Microsoft Office programs. Must have the ability to speak, read, and write English and Spanish.
  • Licenses & Certifications:Valid driver’s license.

REQUIRED PHYSICAL ACTIVITIES:

  • Sitting: The primary task involves sitting at a desk, computer, or workstation for extended periods, performing administrative tasks and using computer equipment.
  • Lifting and Carrying: Occasional lifting and carrying of lightweight office supplies, documents, or small packages may be required, typically not exceeding 15 pounds.
  • Bending and Reaching: May involve occasional bending or reaching to access office equipment, files, or supplies within standard office settings.
  • Grasping and Typing: Ability to use a keyboard, mouse, and office equipment, demonstrating fine motor skills for typing, clicking, and manipulating documents.
  • Visual Acuity: Clear vision for reading printed and on-screen materials, including text, graphics, and data, and for viewing computer monitors for extended periods.
  • Hearing: Adequate hearing to engage in conversations, respond to telephone calls, and interact with colleagues in a typical office environment.
  • Walking/Mobility: Occasional short walks, or mobility, within the office premises may be necessary to attend meetings, access common areas, or collaborate with colleagues.
  • Stamina: Maintain the ability to maintain focus, productivity, and attention to detail while working at a desk for standard office hours.

WORK ENVIRONMENT:

Work is primarily performed in a standard office environment. Extended periods of sitting are required.

WORK HOURS:

  • Regular Full-Time position, 40 hours per week.
  • Hours are typically 8:00am to 5:00pm Monday through Friday.
  • There may be times when an employee may need to work outside the established work week, such as after hours or on the weekend.

REQUIRED TRAVEL:

Work is conducted in a variety of County buildings located throughout the County. Travel between Parachute, Rifle and Glenwood Springs based worksites is required. Occasionally, the position requires travel for site visits, trainings, or other meetings.

TECHNOLOGY AND EQUIPMENT:

Computer and relevant software applications, spreadsheets, calendars, and word processing. Will also work with calculators, telephone systems, and mobile phones. Statewide client information system (TRAILS).

NOTE: This position requires a pre-employment background check with will include a Criminal Background Check, Employment Verification, and Motor Vehicle Record. Employment is contingent upon successful completion of these items.
