Position Title: BUSINESS PROCESS ANALYST I/II/III/SR

Position Summary: The Business Process Analyst supports the university by assisting with the documentation, analysis, and improvement of business processes. This role involves collaborating with stakeholders to gather information, identify inefficiencies, and recommend solutions to enhance operations. They will work with stakeholders across the university to define processes and specify solutions which enable units to become more efficient and may conduct process audits to ensure the effectiveness of new processes. The level of the position (I, II, III , or Senior) reflects the scope of work, years of experience required, and level of autonomy

Required Qualifications
Business Process Analyst I
  • High school diploma or GED .
  • One year of experience in business/systems analysis.
  • Demonstrated understanding of analytical techniques.
  • Demonstrated understanding of modeling notations and flowcharting.
  • Basic understanding of process improvement methodologies (e.g., Lean, Six Sigma).
  • Proficient in Microsoft Office Suite and basic data analysis tools.

  • Possess all of the required qualifications of a Business Process Analyst I, plus:
  • Bachelor’s degree or a combination of education and experience that equates to four years.
  • Four additional years of experience in business/systems analysis.
  • Demonstrated experience analyzing data to draw business-relevant conclusions and in data visualization techniques and tools.
  • Demonstrated experience facilitating meetings and requirements gathering sessions.
  • Demonstrated experience testing and mapping various business processes and protocols.
  • Demonstrated knowledge in generating process documentation.
  • Strong organizational and project management skills.
  • Demonstrated ability to write clear and well-structured business requirements/documents.
  • Advanced skills in Microsoft Office Suite and data visualization tools (e.g., Tableau, Power BI).
  • Ability to effectively communicate and influence key stakeholders to support proposed strategies, process improvements, and operational decisions.
  • Ability to present information for decision making purposes with little to no direction.

Business Process Analyst III
  • Possess all of the required qualifications of a Business Process Analyst II, plus:
  • Five additional years of experience in business/systems analysis.
  • Proficiency in using business process modeling and analysis tools such as BPMN , UML , Visio, or other related programs.
  • Ability to quickly learn the objectives, structures, operations, and policies of a new business area.
  • Demonstrated expertise in leading large-scale initiatives with measurable outcomes.
  • Strong problem resolution, negotiation, and influencing skills.
  • Strong analytical skills with the ability to collect, study, and interpret complex data.
  • Adaptability and a willingness to learn new skills.

Business Process Analyst Sr
  • Possess all of the required qualifications of a Business Process Analyst III , plus:
  • Five additional years of experience in business/systems analysis.
  • Demonstrated ability to break-down complex business scenarios or problems into process and data models.
  • Proven ability to ask tough questions and negotiate professionally and creatively to ensure the success of the organization and projects.
  • Proven ability to easily balance the organization’s strategic vision with the daily operations of projects.
  • Comfortability with presenting at the senior executive level.
  • Proven ability to successfully mentor others.
Preferred Qualifications
  • Knowledge of the BABOK® Guide and the agile extension to the BABOK® Guide.

Duties & Responsibilities
Business Process Analyst I
  • Consults with stakeholders to identify, define, and document business needs and objectives, including current as-is workflows.
  • Identifies and documents issues and risks, as well as the root causes to those issues and risks, and identifies areas for improvement.
  • Uses various techniques to understand business requirements, such as interviews, workshops, surveys, site visits, and storyboards.
  • Develops and documents business process models with standard notation and tools to represent the process structure, logic, roles, inputs, outputs, and performance indicators.
  • Translates conceptual user requirements into clear functional requirements.
  • Works with business and delivery teams to prioritize requirements.
  • Identifies and assists in prioritizing opportunities to streamline business processes.
  • Creates process documentation and guidelines, including standard operating procedures and workflow diagrams.
  • Performs other duties as assigned.
Business Process Analyst II
  • Performs all duties and responsibilities of the Business Process Analyst I, plus:
  • Performs data discovery, analysis and modeling.
  • Defines configuration specifications and business analysis requirements including reporting, alerting, integrations, and technical.
  • Develops and implements optimized processes and procedures to enhance efficiency, productivity, and customer satisfaction.
  • Presents information for decision making purposes.
  • Collaborates with stakeholders to design and execute process improvement initiatives aligned with organizational goals.
  • Communicates the tradeoffs of technical options, limitations, costs, and risks to business partners and works with them to shape requirements accordingly.
  • Helps resolve competing priorities between stakeholder groups by facilitating stakeholder discussions and escalates issues where appropriate.
  • Collaborates with cross-functional teams to implement process changes, ensuring smooth transitions and minimal disruptions to operations.
Business Process Analyst III
  • Performs all duties and responsibilities of the Business Process Analyst II, plus:
  • Monitors and evaluates the effectiveness of implemented process changes, measuring key performance indicators, and making necessary adjustments for continuous improvement.
  • Manages end-to-end process improvement projects with minimal supervision.
  • Conducts in-depth analysis of complex workflows and recommend innovative solutions.
  • Presents information at the senior executive level.
  • Provides mentoring to team members.
  • Assists with stakeholder engagement and organizational change management as changes are implemented.
Business Process Analyst Sr
  • Performs all duties and responsibilities of the Business Process Analyst III , plus:
  • Leads university-wide process improvement initiatives with significant complexity and scope.
  • Help strategy and business leaders understand, apply, monetize, and operationalize existing, new, and emerging technologies to transform and optimize business and operating models.
