Position Summary This position is the key administrative support person for the Office of Curriculum and Instructional Support ( CIS ) and assists with administrative tasks for the Executive Director and CIS unit heads. This role requires a high level of professionalism, accuracy in detail, and the ability to maintain confidentiality. The individual performs a variety of functions requiring decision-making and independence of thought and action. This position will serve as a liaison with all CMU constituents for CIS and must be conversant in university procedures and policies relating to the unit’s role and functions. This position assists with various meetings and committees where needed. This position requires independence with a high degree of autonomy/responsibility for complex duties that may be broad and varied or narrow and focused.

Required Qualifications

Duties & Responsibilities

Ensures smooth office operations, coordinates master calendar, processes telephone inquiries, and generally handles all the administrative requirements for the Office of Curriculum and Instructional Support.
Exercises independence and judgment in obtaining and providing information relative to a broad range of university activities. Performs complex and varied support/administrative, technical duties, data-gathering, and report writing for CIS unit heads.
Represents CIS to the general public, including receiving and screening calls and reception of all visitors to CIS , and directs appropriately to staff members.
Researches, organizes, prioritizes, prepares, and documents communication (phone calls, e-mail, letters, memos, etc.) for internal/external delivery as related to CIS .
Establishes and maintains various filing and records management systems and maintains departmental shared files.
Schedules meetings and performs necessary preparation for meetings for CIS unit heads as needed, including the preparation of agendas, minutes, and other documents.
Facilitates, and coordinates, inventory, ordering, and purchasing of office supplies and technology equipment for CIS .
Prepares credit card reconciliations and other bookkeeping related duties to support all CIS staff.
Coordinates facilities and maintenance responsibilities to assist all CIS staff.
Coordinates exception leave reporting for CIS .
Monitors multiple sources of curriculum, instructional delivery, and assessment data; compiles reports and assists in analysis.
Assists other CIS leadership team members and committees they facilitate with administrative needs under the direction of the committee chair and/or the Manager, CIS Events & Operations provides administrative support to the Excellence in Teaching Award Committee. Duties include, but are not limited to, taking minutes, disseminating agendas, meeting materials, and minutes to members, and providing other committee support services (e.g., ETAC nomination collection, collection and redacting candidate materials, scheduling notifications to award winners, and ordering awards.
Provides administrative support to Academic Senate-appointed committees (under the direction of the committee chair), including the Assessment Council and the General Education Committee. Duties include, but are not limited to, taking minutes, disseminating agendas, meeting materials, and minutes to members, and providing other committee support services as needed.
Acts as a back-up to the Executive Secretary Academic Senate Office.
Acts as back-up to other CIS operational activities as needed.
Other duties as assigned.
