Job Title: Business Operations Coordinator

Department: Operations

Reports To: Sr Manager, Business Operations

Position Summary:

We are seeking a detail-oriented, proactive Business Operations Coordinator to oversee and manage essential administrative and operational functions that support the smooth operation of the business. This role will focus on managing property leases, business insurance, state registrations, policy renewals, vendor applications, and city licenses. Additionally, this role will be responsible for building and maintaining a centralized knowledge base to house company-related documents and information accessible across departments such as Sales, RFPs, and Executive Leadership.

Key Responsibilities:

Regulatory & Compliance Operations

  • Manage and coordinate the company’s business insurance policies, including renewals, coverage reviews, and claims processes.
  • Maintain an up-to-date schedule of lease data, state and city business registrations, permits, and licenses; ensure timely renewals and filings.
  • Complete and submit vendor and client applications, including certifications, insurance documents, and W-9s.

Documentation & Policy Management

  • Maintain a comprehensive calendar of renewal dates and key compliance deadlines.
  • Support internal audits and ensure that required documentation is organized and accessible.

Knowledge Base Development & Maintenance

  • Help design and maintain a centralized digital knowledge base (e.g., SharePoint, Notion, Confluence) that houses key company documentation such as:
  • Business licenses and registrations
  • Insurance policies
  • Company certifications
  • Standardized responses for RFPs
  • Corporate boilerplates and executive bios
  • Financial and legal information required for proposals or compliance
  • Ensure documentation is consistently updated and structured for use by departments including Sales, RFP, Legal, and Business Leadership.

Cross-Departmental Coordination

  • Act as a liaison across departments to gather and disseminate critical business documentation.
  • Collaborate with leadership to identify gaps in documentation or compliance processes and propose solutions.
  • Support the RFP and sales teams with standardized corporate responses and documentation.

Qualifications:

  • Bachelor’s degree in Business Administration, Operations, or a related field (or equivalent experience)
  • 2+ years of experience in business operations, administrative compliance, or related roles
  • Experience with insurance coordination, state licensing/registration, and vendor applications
  • Strong organizational skills and keen attention to detail
  • Experience creating and maintaining digital knowledge bases or document repositories
  • Proficiency with Microsoft Office Suite, SharePoint, and/or collaboration tools (e.g., Notion, Confluence, Google Workspace)
  • Excellent communication skills and ability to work cross-functionally

Preferred Qualifications:

  • Experience working in a regulated industry (e.g., transit, public sector vendors)
  • Familiarity with RFP processes and business certifications (e.g., DBE, WBE, etc.)
  • Basic understanding of legal or compliance frameworks
