Allure of Prophetstown is seeking a Business Office Manager / Human Resources Director to lead daily business office operations and oversee key HR functions. The position combines healthcare billing and accounting responsibilities with personnel administration, hiring support, employee relations, and compliance-focused recordkeeping.
Role Overview
This onsite role supports both accounting workflows and human resources operations for the facility. Responsibilities include managing resident billing and delinquency monitoring, maintaining trust fund accounting and documentation, assisting with payroll and PBJ filings, and directing recruiting and HR documentation processes. The role also supports healthcare compliance requirements, employee relations activities, and confidential handling of personnel information.
Key Responsibilities
- Assist with implementing and overseeing daily accounting and financial operations
- Maintain policies and procedures for accounting functions
- Manage accounts receivable and resident billing processes
- Prepare and mail resident billing statements
- Monitor and report delinquent accounts
- Communicate with vendors and suppliers regarding invoice discrepancies
- Assist with financial reports, trial balances, and bank statement reconciliation
- Maintain resident trust fund accounting and provide quarterly statements
- Ensure admission contracts and related financial documentation are properly completed and filed
- Assist with improvements or changes to facility accounting systems
- Assist in directing and managing facility HR operations
- Recruit, screen, and coordinate interviews for prospective employees
- Conduct background checks and ensure compliance with hiring policies
- Maintain accurate employee personnel files and HR documentation
- Coordinate new employee orientation and onboarding
- Schedule and maintain mandatory staff training (including HIPAA, OSHA, and compliance training)
- Support employee relations, counseling, and disciplinary processes
- Conduct exit interviews and maintain records
- Ensure confidentiality of all employee information
- Review and process payroll and submit Payroll-Based Journal (PBJ) filings
- Promote a positive employee relations program within the facility
Required Experience and Qualifications
- Minimum 3 years of experience in a billing or supervisory role within a healthcare business office
- Experience with Medicare, Medicaid, and long-term care resident billing
- Minimum 2 years of Human Resources experience
- Knowledge of laws and regulations related to personnel administration in nursing facilities
- Bachelor’s Degree in Business Administration preferred (not required)
- Strong organizational, communication, and leadership skills
Compensation and Location
Location: Prophetstown, IL (onsite)
Salary: USD 47,840 to 56,160 per year
