Job summary

Washington Care Center in Seattle seeks a Business Office Manager to supervise the department and work closely with residents, families and staff. You will input resident financial data, manage billing, and ensure accurate trust accounting and payroll processing.

You’ll lead AR collections and interface with the home office as needed. The role requires strong organizational and communication skills, familiarity with Medicare/Medicaid billing, and solid computer literacy (Outlook, Excel, Word).

Qualifications

  • High school diploma or equivalent required.
  • Basic bookkeeping or first-level accounting strongly recommended.
  • Proficient with Microsoft Outlook, Excel and Word.

Responsibilities

  • Input resident financial data into billing systems and maintain records.
  • Manage private pay collections and timely accounts receivable collection.
  • Follow up with slow payors and coordinate with Medicare/Medicaid billing.
  • Maintain trust accounts and provide resident statements in a timely manner.
  • Oversee Payroll/AP and ensure payroll accuracy per guidelines.
  • Maintain employee records and verify invoices for payment.
  • Adhere to HIPAA privacy and security requirements.

Job Summary:
Washington Care Center in is seeking a Business Office Manager who is a key and visible department supervisor working directly with all residents, family and employees. The Business Office Manager is responsible for the timely input of information within the accounting systems at the community and those which interface with the home office. The Business Office Manager is directly involved in the maintenance of accurate and complete trust accounting records, census information, billing and resident accounts receivable statements, wages paid to employees’ payroll and invoice processing for the nursing facility. The Business Office Manager is the primary individual responsible for the timely collection of accounts receivable from all payor sources.
Essential Functions:

  • Inputs resident financial information within the billing system and maintains accurate and complete financial data for each of the residents, both in the computer system and a hard copy in resident files.

  • Responsible for private pay collections.

  • Responsible for the timely collection of all accounts receivable.

  • Follows up directly with slow payors and initiates collection actions

  • This will necessitate dealings with Medicare and Medicaid billing personnel.

  • Maintains trust account records, providing statements for residents in a timely manner.

  • Oversees the Payroll/AP position, ensuring payroll is accurate and completed per company guidelines.

  • Maintains accurate employee records.

  • Accurately codes, verifies goods and services rendered, ensuring all invoices are properly approved.

  • Follows and adheres to policies and procedures implementing HIPAA requirements for the privacy and security of protected health information.

Education, Licensure, & Experience Requirements:

  • High School diploma or equivalent.

  • First level accounting, or basic bookkeeping course or prior long term care bookkeeping experience is strongly recommended.

  • General computer literacy and good knowledge of Microsoft Outlook, Excel and Word.

  • Working knowledge of office machines (copier, fax, phone systems, etc.)

Knowledge, Skills & Abilities:

  • Good organizational and communication skills.

  • Ability to relate positively, effectively and appropriately with residents, families, community members, volunteers and other facility staff.

  • Possess special interest in, and a positive attitude about, working with long-term care residents and the elderly.

  • Ability to read, write, speak and understand English.

  • Demonstrates basic computer knowledge and ability with an aptitude to learn company applications.
