Job summary

Wellsprings Care Center seeks a Business Office Manager to oversee finance and accounting operations, ensuring internal controls, maximizing cash flow, and meeting AR targets.

You will coordinate billing (Medicare/Medicaid/private), supervise payroll, and manage resident trust accounts while ensuring GAAP adherence and timely reporting to corporate leadership.

Qualifications

  • 2-4 years' experience in healthcare billing, preferably in long term care environment.
  • Bachelor's or Associate's degree in business or accounting preferred.
  • Supervisory experience required.
  • Public Notary preferred.
  • Ability to understand healthcare reimbursement, billing and accounting principles.
  • Ability to understand, control and track direct spending and labor budgets.

Responsibilities

  • Complies with all company and departmental policies and procedures.
  • Audits and documents accounting/financial data for the Care Center.
  • Maintains understanding of topics related to facility financial operations including government relations, GAAP, union provisions, third party billing and reimbursement issues, data information systems and business relations with other facilities.
  • Supervises and participates in the monthly close of financials ensuring that revenue and expenses are posted to the correct accounts.
  • Supervises and participates in timely and accurate processing of monthly billing to payer sources (Medicare, Medicaid, Private, Commercial, VA, Hospice and Co-insurance, etc).
  • Supervises and participates in timely and accurate crossover billing.
  • Monitors and coordinates facility collection activity on all past due accounts to ensure AR targets are met, reviews delinquent accounts, and makes recommendations for third party collections or write-off.
  • Prepares and/or ensures submission of AR review documentation and monthly follow-up reports to corporate office and Administrator.
  • Checks Medi-Cal eligibility for each Medi-Cal recipient on admission and monthly.
  • Contacts Medi-Cal workers to obtain eligibility and IDs; obtains current Medicare, HMO and health insurance cards for billing purposes.
  • Collects all charges from Central supply and appropriate invoices from vendors, and ensures timely payment of accounts payable.
  • Oversees payroll function, ensuring accuracy and timeliness; audits salary increases, retroactive pay, adjustments, paid time off and benefits quarterly; oversees wage and hour requirements.
  • Oversees the Resident Trust Account and maintains documentation; reports activity quarterly.
  • Ensures business records and files are accurate, complete and up to date.
  • Performs follow-up reviews of issues identified by financial/administrative review and internal audits.

Position Summary:

Responsible for overall business office operations ensuring that systems of internal control are in place and operating satisfactorily to safeguard facility assets. Ensures that cash flow is maximized and company accounts receivable targets are met. Acts as a financial liaison between corporate departments and other staff (accounting, reimbursement, MIS, etc.) Maximizes the effectiveness of the company's audit and compliance efforts.

Duties and Responsibilities:
  • Complies with all company and departmental policies and procedures.

  • Oversees the Resident Trust Account and assures that all regulations are followed regarding the fund. Establishes and maintains accurate and on-going documentation of resident trust fund. Reports all resident account activity to the responsible party, resident and Administrator on a quarterly basis.
  • Ensures that all business records and files are accurate, complete and up to date.
  • Performs follow-up reviews of issues identified by financial/administrative review and internal audit reports.
Qualifications:
