Job summary

Spring Gardens Senior Living in Lehi, UT is seeking a Business Office Manager to run clerical, bookkeeping, payroll, AR/AP and resident billing operations in coordination with the Executive Director.

You will supervise the front desk, maintain resident and employee files, manage vendor communications, and support departments to ensure compliant, smooth operations that enhance residents' experience.

Experience in senior living is preferred; strong customer service and problem-solving are essential.

Qualifications

  • Customer service skills essential for interacting with residents and families.
  • Strong interpersonal communication to coordinate with multiple departments.
  • Excellent time management to handle payroll, AP/AR, and front desk responsibilities.
  • Good problem-solving abilities to address residents' and staff needs.

Responsibilities

  • Process bi-weekly payroll and new hire paperwork, including background checks.
  • Maintain accounts receivable, accounts payable and resident billing operations.
  • Oversee front desk operations, answer calls, and ensure lobby tidiness and organization.
  • Manage vendor files, purchase orders, and maintain all staff and resident files.
  • Conduct monthly new hire orientation and audits of files for regulatory compliance.
  • Oversee mail/package flow and ensure efficient operations across departments.
  • Assist with sales process through welcoming prospects and families touring the community.
  • Assist with petty cash handling and reimbursements.

This is the job for you.The Business Office Manager serves as the engine that keeps our community running effectively by providing the clerical, bookkeeping, budgeting, financial reporting, and accounting support to our leadership team, and to our associates and residents who call the community their home.In this role as a Business Office Manager, you will work closely with the Executive Director to create an efficient operation by processing bi-weekly payroll, processing new hire paperwork, maintaining accounts receivable, accounts payable and resident billing operations, processing purchase orders, setting up and maintaining all vendor files and communications, and providing support to each department.As the Business Office Manager you will also set up and maintain all resident and employee files in accordance with regulations and policies, manage all petty cash transactions and reimbursements, be responsible for all computer systems and program operations such as AP/Payroll/Billing/Work Orders, etc., in addition to supervising the reception team.Benefits:Paid Time Off401k plan (After 1 year of service)Employee Assistance ProgramMedical, Dental, Vision, and Life InsuranceDuties and Responsibilities:Processes bi – weekly payrollProcesses new hire paperwork and owns the new hire process and conducts background checks and other required pre-hire documents for new team members.Plays a vital role in the sales process in welcoming prospect residents and families touring the community both in person and by phone.Processes resident monthly or ancillary payments.Answering phone calls effectively at the front desk and reaching out to missed calls quickly.Creates and executes a customer service focus culture at the front desk that has positive impact for residents, families, and all who visit the communityEnsures that the front desk and main lobby area are kept tidy and organized at all times.Oversee monthly new hire orientation for new team membersMaintains efficient accounts receivable and ensures community collects efficiently and accurately.Organizing daily mail and packages that are delivered to the community.Regularly audits resident and employee files to ensure the community maintains state requirements.Purchases supplies for the front desk, printer supplies, and name badges for residents and team members.Plays a vital role in the welcome home process for new residents by providing name plate, badges, and welcome binder for new residents moving into the community.RequirementsSenior living experience is preferred but not required.Will need to have exceptional problem-solving and time management skills.The ability to work according to the necessary schedule to meet job requirements with or without reasonable accommodation.Able to follow through with commitments and needs of the residents, team members, and families.Possess good interpersonal communication skills.Customer service focused.CPR and first aide certified (Or at least receiving it within the first 3 months of working)A passion for customer service and finding solutions to problems.Creative and fun!An optimistic and positive attitude is a must!A team player who is focused on the community’s mission of enhancing the lives of our residents and team members.
