Virtalent is an award-winning Virtual Assistant service based in the UK, specialising in PA and digital marketing support.
Our team of skilled Virtual Assistants works on a one-to-one basis with clients - often busy entrepreneurs and small business owners - to provide tailored, flexible support that helps them grow their businesses with confidence.
We're proud to be an ambitious, growing small business with a close-knit, collaborative culture built over 11 years, thanks to the high standards of service we consistently deliver.
We’re looking for a hands-on and results-driven Business Manager (Operations) to lead our small team of eight and manage day-to-day operations, people and processes.
This is a central role within the company, where you’ll work closely with the Directors to turn ideas into action, make meaningful improvements, and help shape the future of Virtalent.
As Business Manager, you’ll be responsible for coordinating business activities across all areas, from operations and team management to supplier relationships and performance tracking. You’ll be someone who thrives on bringing order and process, enjoys motivating others, and feels rewarded from seeing plans come to life.
This position requires a high level of autonomy, a solutions-focused mindset, and strong communication skills in a fast-paced, remote environment.
If you’re a natural leader with a passion for service excellence and the ability to inspire a successful team this could be a great fit for you.
● Collaborate with the Directors to deliver on business goals and implement pre-defined strategic plans.
● Proactively contribute new ideas and suggestions to improve the running of the business.
● Coordinate and oversee the smooth running of day-to-day operations across departments and platforms.
● Continuously review systems, tools and workflows to improve efficiency and performance.
● Monitor, track, and report on key performance indicators in our platforms, using insights to drive improvements.
● Manage team members across various departments, providing guidance, mentorship, and support.
● Conduct regular team meetings, performance reviews and 1:1 check-ins to support development and engagement.
● Foster a positive, supportive, and high-performing team culture.
● Create, maintain, and improve company-wide policies, procedures, and documentation within our knowledge base.
● Ensure compliance with legal and regulatory requirements as well as maintaining accreditations.
● Oversee relationships with external suppliers and service providers.
● Ensure agreed deliverables, timelines, and quality standards are met.
● Take the lead on internal projects as requested from the directors, from planning and execution to evaluation.
● Manage full employee lifecycle such as hiring, onboarding and training of staff.
● Oversee staff records, GDPR compliance, training, holiday and sickness, and contract updates.
● Liaise with HR advisors and keep accurate records at all times.
● Coordinate with the company accountant and bookkeeper.
This is a full-time role of 37.5 hours per week (40 hours including a 30 minute paid lunch break).
●Be based in the UK and have worked remotely in some capacity in the past.
● Have a minimum of 5 years’ experience in a relevant profession.
● You must have a suitable, quiet separate home office. You’ll need to be able to speak regularly via video conferencing and phone calls without any background distractions, and with a stable broadband internet connection.
All IT equipment will be provided.
● You have proven experience in an operations/business management, and/or leadership role within a small business for five years. This is because you are a people person, thrive on organisation, process, procedure, and realise that operational excellence is your calling.
● You understand what “communication” really means. You are warm and friendly with a professional manner for phone and video based calls, as well as over email. You’re not afraid to pick up the phone, especially when the going gets tough. You realise solutions can be found through effective communication rather than shying away from tricky conversations.
● You have a confident, proactive and self-assured approach. It is essential that you will use your initiative, especially as we all work remotely. Managing your own schedule and approach to your workload means strong prioritisation, organisation, and time management skills are fundamental. You are able to identify what’s urgent from what’s not, and that’s why you’re able to manage operations effectively.
● You’re an active listener and problem solver. You are willing to go the extra mile. That means being solution-focused and trying to find outcomes that benefit the goals of the business.
● You must be comfortable using an array of software tools. It would be a bonus if you have used CRM software before and tools such as Slack, Zendesk, ClickUp or Xero, however full training will be provided on how to use our systems.
● You are open to feedback because you recognise feedback is a gift, a chance for improvement and you take pride in continuing to grow, learn and improve within the role.
● You enjoy working for an ambitious, entrepreneurial small business and within a tight-knit team.
● This is a work from home opportunity.
● You will be employed by Virtalent with a salary range of £36,000-£39,000 per annum.
● You will benefit from flexible hours.
● Your birthday off.
● Additional holiday at Christmas.
● Ongoing training and development.
