As a successful candidate, you will:
Financial Management
Budget Planning Support
- Determine supply volumes and pricing, and define budget amounts for the next fiscal year.
- Evaluate staffing needs, including overtime, vacancies, and performance assessments.
- Contribute to promotion and salary increase decisions.
- Monitor monthly expenditures to meet or exceed budget goals.
Billing Management
- Monitor and maintain the billing matrix for City of Hope and lab outreach billing, updating pricing changes and CDM maintenance.
- Ensure collection of outstanding invoices.
- Troubleshoot billing charge issues in Epic.
Maintenance Agreements Management
- Manage pricing and renewals of lab equipment service agreements and software licenses.
- Oversee purchase of equipment and negotiate with vendors for optimal pricing and maintenance contracts.
- Handle repair quotes outside of maintenance agreements.
Space Planning
- Coordinate facilities and space planning for new installs, remodels, and renovations.
- Determine physical site availability for new equipment and personnel.
Client Contract Management
- Manage renewal of testing agreement contracts between the HLA lab, City of Hope, and outreach clients.
- Coordinate onboarding of new clients and renewal of Disaster Backup Laboratory Services Agreements.
Administrative Policies & Procedures Management
- Maintain policies and procedures that meet laboratory regulatory requirements.
Decision Support and Analytics
- Analyze metrics and data to recommend operational improvements and enhance patient experience.
- Gather, analyze, and validate data.
- Prepare presentations for business development, billing, and quality control meetings.
- Develop business justification for new programs, positions, and equipment.
- Forecast financial performance and recommend improvements.
LIMS and EMR Management
LIMS Systems Administrator
- Manage user access and security.
- Troubleshoot system issues.
- Oversee design, development, and implementation of new and existing interfaced third‑party systems and enhancements.
- Monitor billing messages for accuracy and ensure proper filing to Epic.
- Validate changes related to billing from HistoTrac.
Epic/HistoTrac Interface Support
- Support EMR/LIMS interface projects through development, testing, and validation.
- Serve as a member of UAT and Clinical Workflow Team.
Staff Management
Administrative Staff Management
- Provide administrative oversight and support for the HLA administrative staff.
- Conduct periodic performance feedback meetings and complete annual performance reviews.
Human Resource Tasks
- Initiate internal hiring processes, recruitment, and onboarding of faculty and non‑faculty.
- Coordinate recruitment logistics such as postings.
- Manage staff and faculty time through Centricity and approve timesheets to payroll.
- Lead personnel actions for department staff and faculty as requested.
Qualifications
- Bachelor’s degree in healthcare, business, or a related field.
- Two (2) years of experience with related administrative and project management responsibilities, including experience implementing and managing technology applications.
- OR, two (2) years of experience in a hospital or laboratory environment with an understanding of healthcare and/or laboratory operations.
- Advanced degrees (e.g., MBA, MPH, MHA) may satisfy the minimum experience requirement.
- Preferred: Master’s degree in Leadership, Organizational studies, MBA, MPH, MHA, or Lean Six Sigma certification.
