Business Events Manager

VisitPITTSBURGH is a tourism development organization dedicated to expanding the tourism economy across Allegheny County. The organization generates a positive economic impact across the tourism verticals of business events, sports, and leisure travel. VisitPITTSBURGH achieves its goals, including ensuring the region of certain economic benefits, through the combined efforts of all team members throughout the organization.

The Business Events Manager reports to the Director. The Business Events Manager serves as a liaison between meeting and event planners and service providers. The position is responsible for coordinating client requests, executing collateral needs, and collecting feedback post-event.

Essential Functions

  • Managers assigned event responsibilities for mid-size and citywide events, consisting of 1) introduction to clients, 2) qualifying client needs; 3) developing a service plan and 4) timely follow-up.
  • Communicate information to VisitPITTSBURGH staff and partners, sharing details of assigned groups and through the facilitation of group requests.
  • Answers and acts on phone inquiries and fulfills e-mail requests for information from meeting planners, conference attendees, partners, and the public, as it relates to assigned events and general services inquiries.
  • Coordinates planner requests with Leisure Tourism for government-official welcome letters or appearances, press conferences, and media lists.
  • Executes collateral requests from event organizers and hotel service representatives for assigned events.
  • Manages airport and community signage plans for definite business events.
  • Collaborates with the Leisure Tourism vertical on social media initiatives for the definite business events pre-promotion.
  • Collect information from various stakeholders to provide a post-event report to event organizers.
  • Collects feedback from meeting planners upon the conclusion of events to gauge impressions of client satisfaction and degree of success of events. Maintains records of responses and communicates findings as appropriate.
  • Represents VisitPITTSBURGH at attendance builders and conferences to promote Pittsburgh as a future convention and/or event locale to forthcoming conferences and events.
  • Represents MeetPITTSBURGH at VisitPITTSBURGH Partnership events.
  • Coordinates and manages pre-planning site visits for definite business events.
  • Attends, participates and/or coordinates pre-convention meetings between meeting planners and representatives of the local hospitality community, including convention center personnel, hotel staff, local transportation officials and representatives of the city department of public safety.
  • Monitors a library of products and services to assist meeting planners. Monitors inventory levels of physical products such as brochures, lapel pins, posters and miscellaneous items, as requested by meeting planners.
  • Maintains up-to-date accuracy of printed information that is provided to meeting planners, including, but not limited to, parking information, local taxation policies, contact information of elected officials, local places of worship schedules, and information on current and special events, locally and regionally.

Qualifications

  • A Bachelor’s degree in hospitality management, business, or marketing, or equivalent knowledge is preferred. An associate's degree or equivalent experience is required. A certification or services designation, such as CMP, is preferred.
  • Five years of service and hospitality experience are required.
  • Requires exceptional time, prioritization, organizational, and problem-solving skills, along with attention to detail in all interactions with clients, meeting planners, Board members, VisitPITTSBURGH partners, and internal colleagues.
  • Outstanding customer service and support competencies, to the satisfaction of the event organizer.
  • Strong experience and knowledge of Microsoft Office Suite, including Teams, Word, Outlook, Access, PowerPoint, and Excel, and the operation of a computer and various other office machines is required. Knowledge of iDSS or other Customer Relations Management system is preferred. Finger dexterity and the ability to work with computers are necessary.
  • Understanding of social media platforms is highly preferred, and how it relates to destination services and customer services.
  • Outstanding communication skills, an individual who can tactfully, diplomatically, and effectively communicate with external clients and internal colleagues, in person, by phone, and in writing. Develop and composing certain written materials and successfully handle various inquiries.
  • Travel by air or car may be required, as well as attendance at some special events. A valid driver’s license is required. Some evening or weekend work may be required.
  • Must be able to lift 40 lbs., assemble trade show booths, and must walk and stand for extensive periods of time at an exhibit booth.

This role is exempt and operates under a hybrid schedule, with a minimum of 3 days in-office required however flexibility to be in office or on-site in other locations more frequently is expected.
