Job summary

NewLeaf Symbiotics is seeking an organized and proactive entry-level Business Development Assistant to provide operational, administrative, and project coordination support to the BD team at our St. Louis headquarters.

This on-site role reports to the BD Lead and helps maintain visibility into project status, deadlines, responsibilities, and deliverables. The position focuses on handling logistics, documentation, and cross-functional coordination with Legal, Regulatory, Product Development,

Qualifications

  • Strong organizational and communication abilities with attention to detail.
  • Ability to manage multiple concurrent activities and deadlines.
  • Proficiency with MS Office 365 and Adobe Acrobat.
  • Self-motivated, able to work independently or in a team.
  • Experience coordinating across departments and with vendors or partners.

Responsibilities

  • Provide operational, administrative, and coordination support to Business Development activities and projects.
  • Prepare meeting agendas, take notes, and track action items to completion.
  • Manage and track legal agreement workflows, approvals, and signatures.
  • Process product and sample requests through internal approval, production, fulfillment, and shipment.
  • Handle domestic and international shipments and related documentation for field trials.
  • Maintain accurate project records, deadlines, and workflows using Wrike and other systems.
  • Follow up with stakeholders on outstanding actions and deliverables.
  • Support cross-functional activities with Legal, Regulatory, Product Development, Manufacturing, and Finance.
  • Assist with BD materials, reports, presentations, invoices, expenses, and budget tracking.
  • Schedule meetings, travel, registrations, and other BD logistics as needed.

Business Development Assistant (non-technical, entry-level), Business Development

NewLeaf Symbiotics (NLS), an agricultural biologicals company, is seeking an organized and proactive entry-level Business Development Assistant to provide operational, administrative, and project coordination support to the Business Development team. This role will report to the BD Lead and provide support to the broader BD team, as needed, by managing and tracking key Business Development processes, including; legal agreements, product and sample requests, shipments, project activities, and cross-functional deliverables. The position will also help maintain the systems, records, and workflows needed to provide visibility to project status, deadlines, responsibilities, and outstanding actions. This is a full-time, on-site position based at NewLeaf’s St. Louis headquarters.

Responsibilities and Duties:
  • Provide operational, administrative, and coordination support to Business Development activities and projects.
  • Prepare meeting agenda, take meeting notes, and track action items through completion.
  • Manage and track legal agreement workflows, including; requests, approvals, outstanding actions, signatures, and completion.
  • Issue and manage product and sample requests through internal approval, production, fulfillment, and shipment.
  • Process domestic and international shipments and associated documentation in support of field trials and Business Development projects.
  • Maintain accurate and up-to-date project records, action items, deadlines, and workflows using Wrike and other internal systems.
  • Proactively follow up with internal and external stakeholders on outstanding actions, approvals, documentation, and deliverables.
  • Support cross-functional activities with Legal, Regulatory, Product Development, Manufacturing, Finance, and other internal teams.
  • Support the development and continuous improvement of Business Development operational processes and workflows.
  • Assist with Business Development materials, files, reports, presentations, invoices, expenses, and routine budget tracking.
  • Schedule meetings and partner visits, make travel arrangements and business meal reservations, process conference and trade show registrations, and other Business Development logistics as needed.
  • Handle confidential business, legal, financial, and partner information with discretion.
Qualifications:
  • Strong organizational skills, attention to detail, and demonstrated ability to manage multiple concurrent activities through completion.
  • Strong follow-through and ability to proactively identify and communicate outstanding actions, deadlines, and potential delays.
  • Strong written and verbal communication skills and ability to work effectively across teams.
  • Proficiency with Microsoft Office 365 and Adobe Acrobat.
  • Energetic and self-motivated, with the ability to work independently as well as in a collaborative team environment.
Preferred Qualifications:
  • Associate’s or bachelor’s degree in business administration, project management, communications, agriculture, or a related field - or an equivalent combination of education and experience - preferred.
  • Experience in business operations, alliance management, project coordination, administrative support, logistics, agricultural research support, or a related role preferred.
  • Experience with project management tools like Wrike or similar software.
  • Experience coordinating activities across multiple departments or stakeholders.
  • Experience coordinating domestic and/or international shipments.
