Job description

We are seeking an unflappable administrator to join our financial services tech services client on a fully remote basis. This role, reporting to the Business Manager, plays a pivotal role across all operational aspects of the business, including Business Operations & Legal, Finance, and HR, as well as providing admin support to the CEO and COO.

This role requires collaboration with colleagues and third-party vendors, to contribute to the smooth running of day-to-day operations, delivering measurable results.

This candidate should have exceptional communication and interpersonal skills, with a proven track record of building strong relationships with senior stakeholders. They should be adept at managing multiple priorities and deadlines, working independently and as part of a team.

Creativity and thinking outside the box are key, as finding solutions to overcome challenges are a large part of this role. The successful candidate must be prepared to taking full responsibility for their work, and consistently meeting deadlines and delivering high-quality results they are proud of.

Previous exposure to fast-paced and varied administrative work, and experience in finance functions, such as credit control, would be advantageous. Knowledge of MS 365 programmes, including Word, PowerPoint, Teams and SharePoint, is essential.

Hours: 9-5.30

Duties include but are not limited to:

  • Invoice management
  • Data processing / management
  • Supplier management
  • Credit card reconciliation
  • Accounting queries
  • Support Business Manager with ad-hoc finance admin
  • Support tracking of consultant availability / travel Logs
  • Monitor project management timescales / conflicts
  • Tracking legal document signature requirements
  • Contractor onboarding
  • Employee Onboarding, including IT requirements
  • Ad-hoc HR Support
  • PA Support to CEO & COO, including diary and travel coordination, email management, expense reporting, etc
