Qualifications

  • Bachelor's Degree required plus 2-3 years' related experience or equivalent.
  • Excellent critical thinking, analytical, verbal and written communication skills.

  • Familiarity with UPENN financial/HCM systems (BEN Financials, Business Objects, Concur, Workday).
  • Strong customer service skills and clear policy communication.

  • Advanced proficiency in Microsoft Excel and Adobe applications; quick to learn new software.

Responsibilities

  • Review and approve all transactions related to the RBO's financial activities.
  • Manage weekly payroll and HR/payroll tasks in Workday; generate reports and onboard new hires.
  • Identify and resolve financial and HR issues with a focus on compliance and efficiency.
  • Perform account reconciliations and prepare reports for Faculty/Dept/Program/Centers.
  • Assist grants management including budget journals and expense monitoring.
  • Participate in School-wide and University initiatives.

Job Description Summary

SAS Finance is seeking a Business Administrator B. The BusinessAdministrator B will report to the Chemistry Regional BusinessOffice Manager (RBO). This position is an integral member of theChemistry RBO within the School of Arts Sciences. The Chemistry RBOsupports the unique business needs of multiple departments,programs and centers. SAS Finance staff is committed to supportingthe academic mission of the School and the University by addingvalue through our work, finding solutions to operationalchallenges, and helping to prepare the School for tomorrow.

Job Description

The SAS Fiscal Operations staff is committed to supporting theacademic mission of the School and the University by adding valuethrough our work, finding solutions to operational challenges, andhelping to prepare the School for tomorrow.

The Business Administrator B will review and approve alltransactions, process weekly and monthly payroll, reconcileaccounts and run and prepare reports on a monthly basis. Assist inGrants Management as needed. The successful candidate for theBusiness Administrator B position will have the ability to workwith, and the desire to learn from management and experiencedcolleagues across SAS.

Job Responsibilities
  • Review and approve all transactions related to the RBO'sfinancial activities. This includes procurement (Ben Financials),reimbursements (Concur), payment requests (Penn Marketplace),Service Provider Classification requests, Procards, journalentries, and contract invoicing.
  • Manage, process and ensure the timely completion of awide-range of HR and payroll activities. This includes processingweekly payroll and one-time payments in Workday, running reports,creating job requisitions and completing the onboarding process fornew hires. Provide backup to Graduate Student Funding process andmonthly payroll.
  • Identify, address, and remedy Financial and HR-related issues,with a focus on compliance, continuous improvement, and clientsatisfaction.
  • Financial analysis which includes account reconciliation(endowments, gifts, operating and discretionary funds) andpreparing and reviewing reports for Faculty andDept/Program/Centers.
  • Assist in grants management. This includes preparing andentering budget journals upon receipt of the AIS. Monitoring andreviewing expenses and running financial reports.
  • Participates in School-wide and University initiatives.
Qualifications
  • Bachelor's Degree required plus 2-3 years' related experienceor equivalent combination of education and work experiencerequired.
  • Excellent critical thinking, analytical, verbal and writtencommunication is required.
  • Ability to apply solid organizational and time management to adeadline driven, multiple priority work environment isrequired.
  • Familiarity with UPENN financial and HCM systems (BENFinancials, Business Objects, Concur and Workday) ispreferred.
  • Must demonstrate strong customer service skills with theability to clearly communicate policies to faculty, staff andstudents.
  • Ability to work in a frequently changing environment and tofunction as part of a team.
  • Advanced proficiency in Microsoft Excel, Adobe applications andable to quickly learn new software applications is required.
