Responsibilities

The Business Admin Intern supports Lucida's tax season operations by scanning and organizing client documents, supporting pre-prep of tax returns ahead of preparation, assembling completed returns for client delivery, and providing general administrative support. This is a hands-on, detail-driven role that keeps client files moving accurately and on schedule through the busiest weeks of the year. The work is highly repetitive and requires sustained, careful attention to detail — no prior tax or accounting experience is required — training is provided before the season begins.


Duties/Responsibilities:


  • Scan and organize incoming client documents accurately and in a timely manner.

  • Prepare and route scanned documents according to established office procedures.

  • Support administrative staff with client document intake as needed.

  • Review and organize tax documents ahead of preparation using our binder software — checking that materials are complete, verifying that data and outputs pulled into software are accurate, reviewing documents at a high level and cleaning up binder organization and document placement.

  • Flag missing or unclear items for the preparer rather than making tax judgment calls — this work does not require tax knowledge or experience.

  • Apply the same level of accuracy and care across a high volume of binders and documents each day, maintaining consistency even on highly repetitive tasks.

  • Work through assigned files in a timely manner, meeting turnaround expectations, particularly during peak season.

  • Assemble completed tax returns into organized, client-ready packets for pickup or delivery.

  • Track required signed documents and follow up as directed.

  • Support client communication around document intake and return pickup.

  • Maintain organized, accurate filing and recordkeeping.

  • Assist with general office and administrative tasks as assigned, including supply management and data entry.

  • Support additional Operations projects as needed.


Required Skills/Abilities:


  • Ability to follow structured processes and checklists accurately and consistently.

  • Meticulous, detail-first mindset – able to catch inconsistencies, missing items or misplaced documents that others might overlook.

  • Comfortable asking questions and escalating uncertain items rather than guessing.

  • High tolerance for repetitive, detail-heavy tasks without a drop-off in accuracy over the course of a shift

  • Tech-savvy and adaptable – comfortable navigating multiple software platforms at once and learning new systems quickly.

  • Comfortable verifying data accuracy – comparing source documents against what the software captures and catching discrepancies before a return moves downstream to a preparer.

  • Team-oriented, with clear and professional communication.

  • Adaptable to shifting volume and priorities during peak tax season weeks.


Schedule and Season:


  • Seasonal, hourly position running approximately mid-January through April 15.

  • 15+ hours/week, with schedule and hours based on availability and seasonal workload; hours may increase during peak weeks.

  • Strong performers may be considered for returning seasonal roles in future tax seasons.
