Job Description - Bus Operations Clerk II (52412)

Are you ready to apply your administrative skills in a busy Edmonton Transit Service (ETS) garage? Are you excited to step away from your desk and serve a large workspace?

Work for an area that strives to improve the quality of life for the citizens of Edmonton. Edmonton Transit plays a key role in a sustainable community. Make your mark by providing administrative support to up to 450 divisional team members of Bus Operations in Edmonton Transit.

What will you do?
  1. Provide administrative support to the management team, including processing documents, managing calendars, and coordinating travel.
  2. Serve as the first point of contact for the Kathleen Andrews Transit Garage, responding to inquiries, directing visitors, and processing mail and couriers.
  3. Deliver exceptional customer service by assisting with a range of requests, such as processing invoices, coordinating repairs, and managing stationery orders.
  4. Offer general support to operators, including processing ID card requests, managing locker assignments, and distributing corporate gifts.
  5. Maintain accurate records and files, ensuring compliance with the City of Edmonton's retention policies.
  6. Prepare and distribute minutes for various meetings, including Joint Health and Safety, Transit Delivery Supervisor, and Bus Operations Clerk meetings.
  7. Troubleshoot minor technical issues with office equipment and arrange for repairs as needed.
  8. Support the processing of human resources documents, including pre-filling counselling forms and maintaining a tracking sheet of assignments.
  9. Assist with the coordination of special events and staff appreciation activities.
  10. Perform other related duties as assigned.
Qualifications
  • Completion of Grade twelve (12), including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in computer applications.
  • Minimum of two (2) years of diversified word and information processing experience, including experience with reception, customer service, creating/receiving purchase orders in Ariba, processing invoices, and minute taking.
  • Must achieve a 45 WPM typing speed.
Assets
  • Experience with ETDS, TOPS, PeopleSoft, POSSE, SDMS, and Remedy.
Skills required for success
  • Intermediate to advanced proficiency with Google Workspace (Docs, Sheets, Forms, Calendar, Meet, etc.).
  • Prior experience using DocuSign and Ariba.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Problem-solving and decision-making skills.
  • Excellent verbal and written communication skills.
  • Exceptional time management and organization skills with the ability to adapt to changing priorities and meet deadlines in a fast-paced environment.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills, including the ability to effectively and tactfully communicate and develop relationships with various internal and external stakeholders and partners.

Conditions of Employment
  • Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton. There may be a cost associated with this requirement.

Work Environment
  • This is a large transit garage; considerable walking is required.
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement, and the incumbent will be notified in advance.

Salary Range: $25.172 - $31.257 (Hourly); $44,346.77 - $55,067.02 (Annually)
