What will you do?
- Provide administrative support to the management team, including processing documents, managing calendars, and coordinating travel.
- Serve as the first point of contact for the Kathleen Andrews Transit Garage, responding to inquiries, directing visitors, and processing mail and couriers.
- Deliver exceptional customer service by assisting with a range of requests, such as processing invoices, coordinating repairs, and managing stationery orders.
- Offer general support to operators, including processing ID card requests, managing locker assignments, and distributing corporate gifts.
- Maintain accurate records and files, ensuring compliance with the City of Edmonton's retention policies.
- Prepare and distribute minutes for various meetings, including Joint Health and Safety, Transit Delivery Supervisor, and Bus Operations Clerk meetings.
- Troubleshoot minor technical issues with office equipment and arrange for repairs as needed.
- Support the processing of human resources documents, including pre-filling counselling forms and maintaining a tracking sheet of assignments.
- Assist with the coordination of special events and staff appreciation activities.
- Perform other related duties as assigned.
Qualifications
- Completion of Grade twelve (12), including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in computer applications.
- Minimum of two (2) years of diversified word and information processing experience, including experience with reception, customer service, creating/receiving purchase orders in Ariba, processing invoices, and minute taking.
- Must achieve a 45 WPM typing speed.
Assets
- Experience with ETDS, TOPS, PeopleSoft, POSSE, SDMS, and Remedy.
Skills required for success
- Intermediate to advanced proficiency with Google Workspace (Docs, Sheets, Forms, Calendar, Meet, etc.).
- Prior experience using DocuSign and Ariba.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Problem-solving and decision-making skills.
- Excellent verbal and written communication skills.
- Exceptional time management and organization skills with the ability to adapt to changing priorities and meet deadlines in a fast-paced environment.
- Ability to work independently and as part of a team.

Conditions of Employment
- Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton. There may be a cost associated with this requirement.

Work Environment
- This is a large transit garage; considerable walking is required.
- The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement, and the incumbent will be notified in advance.

Salary Range: $25.172 - $31.257 (Hourly); $44,346.77 - $55,067.02 (Annually)
