TITLE: Bursar

DEPARTMENT: Accounting Services – Student Accounts

WORK TYPE: Full-Time | Staff

LOCATION: Beacon College, Leesburg, Florida

DIVISION: Finance

JOB SUMMARY:

Beacon College seeks an experienced, service-minded Bursar to lead our Student Accounts office. The Bursar oversees the full student receivable cycle, including billing, payments, financial aid posting, third-party and vocational rehabilitation (VR) sponsors, refunds and collections, while guiding a dedicated team and helping families with patience and clarity.

This role also carries an important charge: to modernize how our office works. Many Student Accounts processes in Jenzabar One (J1) are still manual. We are looking for a steady, thoughtful leader who can keep daily operations running smoothly during our busiest seasons while building more efficient, automated processes for the future.

ESSENTIAL DUTIES AND responsibilities:

  • Leadership: Lead, train and support the Student Accounts team. Plan coverage for peak periods and keep staff cross-trained on key tasks.
  • Policies and procedures: Develop, update and maintain Student Accounts policies and written procedures in line with federal, state and College requirements.
  • Billing: Direct all student billing, ensure accuracy of charges, discounts and adjustments, and set up the annual tuition and fee schedule in J1 after board approval.
  • Statements, holds and collections: Publish student statements, manage registration and financial holds, run the monthly aging report and collections cycle, and clear students for check-in each term.
  • Payments and reconciliation: Oversee daily processing and posting of credit card, check and electronic payments; review bank activity; and approve all Student Accounts transactions.
  • Payment plans: Manage Nelnet payment plans and other payment arrangements, including adjustments after add/drop and aid disbursements.
  • Financial aid and refunds: Post financial aid disbursements promptly, approve credit-balance refunds with Accounts Payable, and calculate account adjustments for withdrawn students (including Return of Title IV) with Financial Aid.
  • Third-party and VR sponsors: Oversee billing and collections for third-party sponsors, including Florida Prepaid and Florida tuition grant programs, and for VR agencies across many states.
  • Year-end and compliance: Prepare and distribute 1098-T forms, support the annual audit, and keep student accounts compliant with federal and state regulations.
  • Service: Serve as the point of escalation for student and family questions, and make sure every call and email receives a timely, caring response.
  • Process improvement: Map current workflows and lead the automation of manual processes in J1, such as recurring charges and discounts, payment uploads, sponsor invoicing, holds and statement runs, working with IT, the J1 team and Jenzabar consultants.
  • Perform other related duties as assigned.
REQUIRED QUALIFICATIONS:

Education: Bachelor’s degree in accounting, finance, business or a related field, or equivalent experience.

Experience: 3+ years of related experience managing student accounts or accounts receivable, including supervisory or leadership experience.

PREFERRED QUALIFICATIONS:

  • Experience working in a higher education environment.
  • Experience with a higher education ERP system such as Jenzabar, Banner, Colleague or similar platforms.
  • Experience with Jenzabar One, Nelnet payment plans and third-party or VR sponsor billing.
KNOWLEDGE, SKILLS AND ABILITIES:
  • Excellent communication, interpersonal, decision-making, and conflict-resolution skills.
  • Demonstrated success improving, streamlining, or automating business processes.
  • Working knowledge of Title IV regulations, Return of Title IV (R2T4) requirements, Form 1098-T reporting, and collection practices.
  • Strong proficiency in Microsoft Excel and Microsoft Office applications.
  • Knowledge of financial aid processes and their impact on student accounts.
  • Strong customer service orientation with the ability to work effectively and collaboratively with students, families, faculty, staff, and external partners.
  • Ability to explain complex financial information clearly and compassionately to students and families.
  • Strong organizational skills with the ability to manage multiple priorities in a high-volume environment.
  • Commitment to accuracy, attention to detail, and continuous process improvement.
  • Knowledge of process improvement methodologies, system optimization, and workflow automation.
  • Demonstrated ability to lead by example, solve problems proactively, and foster a collaborative team environment.
ENVIRONMENT:

This role operates in a professional office environment with regular interaction across campus and digital platforms. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
