Job summary

ABM Industries seeks a Building Support Specialist to be the first point of contact for employees, visitors, and vendors. You will support the Facilities Team with front-desk operations, daily building rounds, event coordination, and ticketing system management to keep the site safe, functional, and welcoming.

The role requires strong communication, organization, and multitasking in a fast-paced environment.

Qualifications

  • High school diploma or equivalent required.
  • Experience in reception, Google Suite, CMMS, and events preferred.
  • Ability to multitask and deliver excellent customer service in a busy environment.

Responsibilities

  • Front Desk Support: Warm, professional front-desk presence and access assistance.
  • Conference room rounds: Check lighting, equipment, and supplies.
  • Tech Support: File tickets for malfunctioning meeting equipment.
  • Signage: Update and replace building signage as needed.
  • Tours: Support client/site tours for visitors as needed.
  • Supplies inventory: Monitor and replenish office supplies for the site.
  • Event support: Assist with decor, food/beverage setup, and last-minute changes.
  • Emergency Response: Be on call for urgent maintenance issues.

Building Support Specialist (BSS)

The Building Support Specialist (BSS) plays a key role in creating a positive workplace experience by serving as the first point of contact for employees, visitors, and vendors. This role supports the Facilities Team through front-desk operations, daily building rounds, event coordination, and timely management of facilities ticket submissions. The ideal candidate is highly organized, service-oriented, and proactive in maintaining a safe, functional, and welcoming environment. Responsibilities include greeting guests, monitoring building conditions, coordinating with vendors, assisting with event setup, and triaging maintenance or safety issues through the company's ticketing system. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment. The BSS exceeds client expectations, ensuring that the property is well-maintained, compliant with safety standards, and meets high-quality standards.

Compensation: $22 - $28 per hour.

Daily Tasks May Include
  • Front Desk Support: Warm, professional front-desk presence, assisting with access, vendor escorts, badging issues, etc.
  • Complete conference room rounds: Check lighting, meeting equipment, furniture, and stocking supplies.
  • Tech Support: File tickets for malfunctioning meeting equipment.
  • Signage: Update and replace signage throughout the building as needed on a weekly basis.
  • Tours: Support new hire tours for the client showcasing the property and answering questions about the site.
  • Supplies inventory: Collaborate with the Facilities Coordinator to monitor, control, and replenish office supplies for the site.
  • Event support: Provide event support in a timely and courteous manner, with the ability to work with last minute changes or requests. Subject but not limited to decor, food, and beverage set up, moving chairs, tables, soft seating, stocking supplies, connecting desk power, checking meeting equipment, hanging signs, coordinating janitorial support, etc. Maintaining inventory of event supplies.
  • Desking Set Up and Daily Checks: Following client provided desk standards, providing daily checks/resets of shared desks, assisting any teams with monitor, cord, or AV issues
  • Safety, Security, and Building Protocols: Providing assistance with badge access (activating, creating access tickets, managing temp badge extensions), ensuring all personnel entering the building have the proper access, and resolving all access issues.
  • Administrative and Organizational Support: Assisting with calendar management, ordering office or facility supplies, data entry and spreadsheet updates, managing visitor and contractor escorts.
  • Emergency Response: Be on call for emergency maintenance issues, responding promptly.
  • Documentation: Maintain accurate records of maintenance work, including work orders, preventive maintenance logs, and equipment service history.
Skills
Front Desk and Customer Service
  • Ability to multitask in high-traffic environments
  • Able to maintain badge stock, follow badging and security procedures, and provide permanent/temporary badges as needed
Facilities Operations
  • Understanding of building systems (HVAC, lighting, access control, intense security protocols)
  • Able to identify and report facilities issues during rounds (signage standards, safety hazards, spills, damage, outages)
  • Experience with preventive maintenance concepts
  • Familiarity with vendor coordination (janitorial, security, building engineers, food and beverage, etc)
  • Experience with CMMS systems and Google Suites preferred.
  • Physical Requirements - Ability to lift heavy objects, work in various weather conditions, and stand or walk for extended periods.
Education
  • High school diploma or equivalent required.
  • Experience: Proven experience within reception, Google Suites, CMMS systems, high client expectations, concierge, and events, preferably in an office setting
