Job summary

CCSAO is seeking a Budget Assistant II to support accounts payable and receivable, and serve as a liaison with agencies and financial institutions for daily operations. The role reports to the Chief Financial Officer and sits in the Budget/Purchasing unit.

This entry-level, full-time position requires strong communication, accuracy with ledgers, and proficiency in Microsoft Office; experience with the EBS system or SharePoint is preferred.

Qualifications

  • Excellent verbal and written communication, strong organizational and multitasking abilities.
  • Three years direct experience with account ledgers, bank reconciliations and spreadsheets or a Bachelor's degree.
  • Proficiency in Microsoft Office applications.

Responsibilities

  • Process invoices within EBS accounting system.
  • Prepare checks for issuance from on-site bank accounts (Access database); includes Petty Cash and Escrow Accounts.
  • Prepare payment vouchers.
  • Perform additional duties and responsibilities as needed or required.
  • Interacts regularly with State’s Attorney’s Office employees and Cook County agencies and vendors.
  • Regular access to confidential information.
  • Perform other duties and projects as assigned.

Job Title: Budget Assistant II

Reports to: Chief Financial Officer

Level: Entry/Union/Full-Time

Grade: 19

Salary: $87,641

Status: Entry Level (This may vary for internal candidates only)

Bureau: Administrative Services

Division/Unit: Budget/Purchasing

Primary Function

Accounts payable and receivable processing; serve as a liaison between the State’s Attorney’s Office and other agencies or financial institutions as it relates to the day-to-day operations.

Working Environment

Hours: Monday – Friday 8:30 a.m. to 4:30 p.m.

Physical Requirements

Light Work: The position requires the ability to stand or walk frequently, often for extended periods. You may need to lift, carry, push, or pull objects weighing up to 20 pounds regularly, and occasionally heavier items. The job may also involve a significant amount of walking or standing relative to sedentary roles.

Duties and Responsibilities
  • Process invoices within EBS accounting system
  • Prepare checks for issuance from bank accounts held on-site (access database); includes, but not limited to, Petty Cash and Escrow Accounts
  • Prepare payment vouchers

  • Interacts regularly with outside agencies and vendors
  • Regular access to confidential information

Qualifications
Required
  • The candidate musthave excellent verbal and written communication skills, excellent organizational skills, and the ability to multi-task.
  • Three years direct and significant experience working with account ledgers, bank reconciliations and spreadsheets will be considered in lieu of a Bachelor’s degree
  • Proficiency in Microsoft Office applications required.
Preferred
  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
  • Working Knowledge of the EBS system
  • Proficiency in SharePoint.
