  • Receive and process referrals and physician orders via phone, fax, or electronic workflows.
  • Coordinate with provider offices and departments to resolve missing or incomplete scheduling information.
  • Respond to calls, messages, and inquiries using approved tools.
  • Support preregistration activities, including outbound calls and verbal consent when applicable.
  • Identify uninsured or self-pay patients and refer to financial assistance resources.
  • Maintain productivity, quality, and service standards in a fast-paced scheduling environment.
  • Participate in meetings, committees, and department projects as assigned.

GENERAL SUMMARY:

Facilitates patient access to care by scheduling appointments, procedures, and admissions accurately and efficiently. Collects and documents demographic, insurance, and appointment information while coordinating with patients, provider offices, and internal teams. Communicates preparation instructions, arrival details, and financial expectations to support care readiness. Delivers consistent customer service while maintaining confidentiality and compliance with established policies.

PRINCIPAL JOB FUNCTIONS:

  6. *Coordinates with provider offices and departments to resolve missing or incomplete scheduling information.
  7. *Responds to inbound and outbound calls, messages, and inquiries using approved communication tools.
  8. *Supports preregistration activities, including outbound calls and verbal consent as applicable.
  9. *Identifies uninsured or selfpay patients and initiates referral to financial assistance resources.
  10. *Maintains productivity, quality, and service standards in a fastpaced scheduling environment.
  11. Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.
  12. Participates in meetings, committees and department projects as assigned.
  13. Performs other related projects and duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
  1. Knowledge of computer hardware, office equipment, telephonic communication systems, scheduling platforms, and software applications relevant to work functions.
  2. Knowledge of federal regulations, corporate compliance requirements, third-party payer guidelines, and healthcare privacy standards.
  3. Knowledge of medical terminology, insurance plans, and healthcare office operations.
  4. Knowledge of correct grammar, spelling, punctuation, and documentation standards to support accurate patient information management.
  5. Skill in delivering exceptional customer service and building positive patient, provider, and customer relationships.
  6. Skill in verbal and written communication, attention to detail, and accurate information gathering and documentation.
  7. Skill in problem-solving, exercising professional judgment, and managing competing priorities in a fast-paced environment.
  8. Ability to establish and maintain effective working relationships with physicians, staff, healthcare organizations, and diverse patient populations.
  9. Ability to communicate effectively, conduct crucial conversations with desired outcomes, and maintain confidentiality of sensitive information.
  10. Ability to work independently with minimal supervision, prioritize workload effectively, and maintain regular and punctual attendance.
EDUCATION AND EXPERIENCE:

High school diploma or equivalent required. Experience in healthcare scheduling, patient access, or customer service operations preferred. Must be 19 years of age to witness legal consents.
