We are working with a leading commercial real estate advisory firm seeking a Broker Administrative Specialist to join its team in the New York office. This role offers an excellent opportunity for an administrative professional who thrives in a fast-paced, client-focused environment and has a keen eye for detail, design, and organization.

As a key member of the team, you’ll provide comprehensive administrative and marketing support to real estate professionals—helping to drive business development efforts, coordinate deal documentation, and produce high-quality marketing collateral. This is a dynamic role for someone who enjoys wearing multiple hats, from crafting proposals to managing databases and coordinating day-to-day operations.

Key Responsibilities:

  • Proactively assess the needs of brokers and clients to provide timely and effective support
  • Draft and format a variety of documents, including correspondence, proposals, reports, and invoices
  • Create visually engaging marketing presentations and property tour books using PowerPoint
  • Conduct research and compile market surveys and property data from commercial real estate databases
  • Maintain and update CRM/client databases
  • Track deadlines, monitor action items, and ensure timely follow-up
  • Coordinate meeting logistics, travel arrangements, and expense reports
  • Organize and maintain account files and perform general administrative tasks
  • Assist with data entry for deal closures and perform other special projects as assigned

Qualifications:

  • Bachelor’s degree in business or related field, or equivalent professional experience
  • Minimum 3 years of administrative experience, preferably supporting multiple team members; real estate industry experience a plus
  • Exceptional organizational and communication skills
  • Ability to multitask effectively and manage shifting priorities independently
  • Strong proofreading and editing skills with attention to detail
  • Team player with a positive, proactive attitude
  • Creative and self-motivated with a strong sense of accountability

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with Adobe Acrobat; InDesign a plus
  • Familiarity with commercial real estate platforms such as CoStar, LoopNet, and AIR
  • Salesforce and Slack experience preferred
  • Comfort with social media tools and email campaign platforms
