Job summary

Xylem is seeking a Branch Operations Specialist to support shop operations, sales, and branch processes, ensuring contracts, billing, and administrative tasks are resolved promptly. The role may touch multiple business units and requires meticulous documentation and timely payment processing.

You will manage inbound calls, coordinate scheduling of technicians and deliveries, and collaborate with customers and staff to resolve issues. This role emphasizes accuracy and accountability within a team.

Qualifications

• High school diploma or equivalent plus 2 years of applicable work experience.
• Ability to handle non-routine, complex tasks.
• Proficient in STEEB, SAP, and Microsoft Office suite.
• Strong troubleshooting and logical problem-solving skills.
• Good collaboration and teamwork across disciplines.
• Understanding of general business concepts.
• Excellent communication skills with all levels of the organization.
• Fluency in ERP systems and IT business tools.
• Ability to work independently and in a team.

Responsibilities

• Manage inbound calls, inquiries, and walk-ins.
• Coordinate operations: scheduling technicians, deliveries, and equipment.
• Collaborate with customers and branch staff to resolve issues.
• Process rental quotes and orders via phone, in person, or email.
• Document tasks in process flows and systems.
• Answer product questions or route to service/sales as needed.
• Enter orders and arrange delivery per contracts, including freight terms.
• Assist with contract renewals and changes for simple configurations.
• Review auto-renewals and support contract additions.
• Support technicians with work orders and parts.
• Contribute to branch metrics and reporting.
• Ensure timely handling of customer requests and on-site safety credentials.
• Maintain safe working environment and culture.
• Handle internal and external customer needs; show accountability and empowerment.
• Work in a team or under supervision as needed.
