Job summary

Baird is seeking a detail-oriented administrative professional in Ann Arbor to support client service and marketing functions within a wealth management framework. You will work closely with financial advisors and PWM teams to ensure smooth operations and exceptional client experiences.

Qualifications

  • High school diploma required; associate/bachelor preferred
  • 1+ year of customer service or administrative experience in financial services
  • Strong technology aptitude and ability to adopt AI-enabled solutions
  • Excellent verbal communication and client service skills
  • Detail oriented with proactive problem-solving abilities
  • Good analytical skills and math capability
  • Ability to work independently with minimal supervision
  • Ability to handle clients professionally and manage challenging situations
  • Proficiency in Microsoft Office; ability to learn PWM tech platforms (Thomson ONE, Albridge, Envestnet, CRM, Money Guide Pro, Liquid Office)

Responsibilities

  • Answer inquiries from internal associates and business partners; liaison between advisors and PWM support.
  • Assist the branch social media strategy (LinkedIn, Website, X).
  • Enhance internal operations to improve adviser effectiveness and marketability.
  • Maintain CRM and use it for mailings, reporting, email tracking, and client service modeling.
  • Coordinate student workers and summer interns with branch leadership.
  • Process daily check deposits.
  • Maintain knowledge of compliance policies for internal inquiries.
  • Maintain quarterly Broker of the Day call log for all inquiries.
  • Plan vendor luncheons; set up conference rooms and restock supplies.
  • Sort, route mail; copy, fax, and file materials.
  • Log compliance files; file wires and branch manager reports.
  • Perform other duties as assigned.

Job description

About the Role:

Be responsible forthe client service & marketing functions of the branch following a wealth management or portfolio management business approach, including any operational functions necessary to meet client service requirements. This highly visible position requires a polished professional withsuperior,communication, customerserviceand organizationalskill.

The ImpactYou’llMake:
  • Answer inquiries from internal associates and business partners in a professional and pleasant manner. Act as a liaison between financial advisors and internal PWM support teams

  • Assist the Social Media strategy for the branch, including LinkedIn, Website, X, etc.

  • Seek ways to enhance internal operations for the branch that provide FA(s) business effectiveness and marketability

  • Maintain Client Relationship Management (CRM) system for Financial Advisor(s), as well asleveragethe platform to manage the client relationship through mailings, reporting, e-mail tracking, and more, with the goal ofassistingour teams in implementing well-defined client service models

  • Collaborate with branch leadership to orchestra student worker and summer intern duties

  • Process daily check deposits

  • Maintain knowledge or compliance policies for internal associate inquiries

  • Maintain schedule of Broker of the Day call log on a quarterly basis for all incoming switchboard inquiries

  • Plan,coordinateand arrange for vendor luncheons, etc. Set up andmaintainconference rooms, office supplies, and restocking

  • Sort, process and route incoming and outgoing mail

  • Copy, fax, and file various materials as needed

  • Log Compliance files. File paperwork such as wires and branch manager daily reports

  • Perform other duties as assigned

WhatYou’llBringto Baird:
  • High school diplomarequired.Associate’s orBachelor’sdegree preferred, notrequired

  • 1+ yearspreviouscustomer service or administrative experience; preferably in the financial services industry

  • Strong technology aptitude with the ability to adopt new tools, including AI-enabled solutions, preferred

  • Excellent verbal communication skills; excellent telephone and client service skills

  • Detailoriented. Critical thinking and proactiveproblem solvingskills

  • Good analytical skills withabilityto perform semi-advanced math

  • Ability to work independently with minimal supervision; ability to be flexible

  • Ability to handle clients professionally and manage challenging situations

  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint) with the ability to learn and effectively navigate Baird’s Private Wealth Management technology platforms (Thomson ONE, Albridge, Envestnet, CRM, Money Guide Pro, Liquid Office etc.). Strong organizational skills – consistent ability to prioritizework flowof self and Financial Advisorsin order toachieve specific goalsin a timely manner
