We are seeking a Branch Administrator to ensure timely, accurate execution of duties in compliance with policies and laws. Responsibilities span recruiting, invoicing, reporting, ticketing, billing, inventory, and vendor coordination.

Qualifications

  • Associate’s degree preferred or 3+ years relevant experience.
  • Strong communication skills, written and verbal, across teams and stakeholders.
  • Proficiency with Microsoft Office, Adobe, landscape management systems, and ERP/e-procurement platforms.

Responsibilities

  • Follow labor laws and safety policies to ensure safe conditions.
  • Assist with recruiting, onboarding, and pre-employment screenings including I-9 verification.
  • Process month-end close activities and generate management reports.
  • Support scheduling and monitoring of work tickets and job costing, including PO handling.
  • Assist in creating and billing ancillary service opportunities and change orders.
  • Support inventory process with field counts and data entry.
  • Prepare and process credit memos per thresholds with backups.
  • Assist accounts receivable activities including collections and inquiries.
  • Maintain accurate property records and customer contact data in systems.
  • Submit PO requisitions and assist in receiving per procurement procedures.
  • Serve as branch contact for corporate department requests.

Job description

The Branch Administrator is expected to perform all the essential duties timely and accurately, in accordance with all applicable company policies, procedures, processes and practices, and compliant with all federal, state, and local laws and regulations. The essential duties below are not intended to be all-inclusive, but rather indicative to the characteristics normally associated with the job.   • Follow, promote, and enforce all labor laws, safety policies, practices, and procedures to ensure safe working conditions and behaviors are maintained. Assist with safety investigations and corrective actions related to safety hazards and/or incidents.
  • Support efforts in recruiting, hiring, and onboarding new employees, including recruiting events, screening applications, scheduling interviews, coordinating pre-employment screenings and completing I-9 verification.
  • Process month-end close activities and generate financial and operational reports for management review and analysis.
  • Support the scheduling and monitoring of work tickets, ensuring accurate job costing, including allocating and receiving purchase orders (POs), and completion of work tickets in the landscaping management system.
  • Support in building and winning ancillary (non-contract) service opportunities from creation through billing, ensuring required documentation, approvals, and fields are complete before an opportunity converts. Process related change orders and billing accurately and timely, coordinating with the branch management and field crews to confirm scope, work completion, and job costing.
  • Support the inventory process, including collecting physical count sheets from the field and entering counts accurately and timely into the tracking file provided by Accounting.
  • Prepare and process credit memos in accordance with Company approval thresholds, ensuring required backup documentation is retained.
  • Support accounts receivable efforts including collections follow-up, invoice inquiries, and dispute research; escalated unresolved items to corporate AR as needed.
  • Maintain accurate property records and customer contact information in Company systems, recognizing that this data drives billing, routing, and reporting accuracy.
  • Submit purchase order requisitions and assist in receiving in accordance with Company procurement procedures.
  • Serve as the primary point of contact at the branch for requests from corporate department promptly and route requests outside the scope of the role to the appropriate party.
Qualifications:
  • Associate’s degree, Business Administration, or related field preferred, or a minimum of 3+ years of relevant experience.
  • Prior experience in landscaping, construction, or a multi-site field services organization preferred.
  • Strong verbal and written communication skills, with the ability to effectively share information across teams and stakeholders.
  • Proficient in computer and technology skills including working knowledge of Microsoft Office Suite, Adobe and landscape management systems. Experience with ERP, e-procurement, or landscape management platforms (e.g., Aspire) preferred.
