Summary

The Part-Time Bookkeeper is responsible for supporting the day-to-day financial operations of the agency by maintaining accurate and complete financial records in accordance with established accounting procedures, agency policies, applicable laws and regulations, and internal controls. The position processes and records financial transactions, including accounts payable, accounts receivable, receipts, deposits, and expenditures; prepares bank deposits; and performs routine bank and account reconciliations. The Bookkeeper reviews financial documentation for accuracy, appropriate account coding, required approvals, and compliance prior to processing payments. The position assists with payroll processing, month-end and year-end closing activities, audits, and financial reviews. The Bookkeeper maintains organized financial records and supporting documentation in accordance with applicable record-retention requirements and maintains the confidentiality of financial, employee, and other sensitive agency information. The position is also responsible for identifying and communicating discrepancies, irregularities, or potential internal control concerns to the Public Health Director and assisting with the implementation and maintenance of effective financial procedures and internal controls.

Description

Maintain accurate and complete financial records in accordance with established accounting procedures and agency policies. Record and reconcile daily financial transactions, including receipts, deposits, payments, and expenditures. Process accounts payable, including reviewing invoices for accuracy, obtaining appropriate approvals, and preparing payments. Process accounts receivable. Prepare and make bank deposits and maintain appropriate documentation for all deposits. Reconcile bank accounts and other financial accounts on a regular basis and investigate discrepancies. Assist with payroll processing and maintain supporting documentation as assigned. Review expenditures for appropriate account coding, documentation, and authorization prior to payment. Maintain organized financial files and supporting documentation in accordance with applicable record-retention requirements. Assist with month-end and year-end closing procedures. Assist with the preparation of information and documentation required for audits, financial reviews, and governmental reporting. Ensure financial transactions are processed in compliance with agency policies, applicable laws, regulations, and established internal controls. Maintain confidentiality of financial, employee, and other sensitive agency information. Identify discrepancies or irregularities in financial records and bring concerns to the attention of the Public Health Director. Assist with developing and maintaining effective financial procedures and internal controls.
