Job Overview
Booking Manager – Toyota Arena, Legends Global. Responsible for booking and developing events at Toyota Arena and ONT Field, managing the booking calendar, and fostering relationships with agents, managers, promoters, and producers.
Key Responsibilities
- Work with agents, managers, promoters, and producers to book concerts, non‑concert events, family shows, and other venue content to maintain a full calendar.
- Establish and maintain relationships with touring industry professionals.
- Manage booking calendar, adding, editing, or removing events and responding to availability requests promptly.
- Research and prepare data to support booking efforts.
- Collaborate on creating memorable venue experiences for artists and tour personnel.
- Attend industry conferences to gain knowledge and build relationships.
- Generate new business through cold‑calling, lead follow‑up, and local meetings.
- Monitor ticket counts, on‑sale tickets, and final show ticket counts.
- Compile and maintain event show folders with contracts, certificates of insurance, and correspondence, including settlements.
- Assist in preparing promoter guides, advertisements, and promotional materials.
- Develop and maintain productive relationships with all venue departments.
- Promote creative use of venue spaces to increase bookings.
- Negotiate deal points in event license agreements as needed.
- Maintain positive client relationships before, during, and after events to encourage repeat business.
- Assist with the development of the annual operating calendar, activity schedules, and attendance/revenue projections.
- Conduct post‑event operational and financial reviews and analyses.
- Represent the booking team and venue(s) at live events.
- Provide administrative support to the department as needed.
- Process moderately complex and confidential documents such as event calendars, venue costs, and memorandums.
- Maintain departmental historical data and records.
Qualifications
- Bachelor’s degree in Business, Advertising, Marketing, or related field preferred; equivalence of education and experience accepted.
- Minimum of three years experience booking large‑scale events and collaborating with agents and promoters.
- Excellent written and verbal communication skills.
- Strong organizational and interpersonal abilities.
- Industry knowledge of the music and performance sector.
- Professional presentation, appearance, and work ethic.
- Proficient in Microsoft Office and marketing‑specific programs.
- Ability to handle highly confidential information.
- Capacity to work with diverse internal and external stakeholders.
- Problem‑solving skills and ability to implement corrective actions immediately.
- Ability to perform under significant pressure associated with entertainment industry schedules.
- Orientation toward hospitality and excellent customer service.
- Basic knowledge of venue operating standards and maintenance.
- Time‑management skills – prioritize multiple projects and meet strict deadlines.
- Ability to work independently and as part of a team.
- Willingness to work flexible hours, including nights, weekends, and holidays.
- Professional attitude and appearance required.
- Travel required.
- Background and credit checks are required as a condition of employment.
Compensation
Competitive salary commensurate with experience, ranging from $90,000 to $105,000, and a generous benefits package including medical, dental, vision, life and disability insurance, paid vacation, and a 401(k) plan.
Physical Demands
May require work inside or outside of the building as needed by events. Must be able to work flexible hours and pass background checks. Employees should use precautions and follow safety guidelines.
