Birth Registrar - Part Time

Overview

The Birth Registrar is responsible for providing excellent customer service to patients and preparing required materials for the Department of Social Services (DSS), Virginia Paternity Establishment Program (VPEP), and the Department of Health (DOH). The role involves providing accurate and timely demographic and medical data to state agencies to create identification documents for babies and establish legal parentage. The Registrar works closely with VPEP and DOH to maintain a birth database for research, program planning, evaluation of maternal and child health, and assisting parents in obtaining legal birth certificates. Primary functions include data collection and submission.

What You Will Do
  1. Cover both Women and Infant Care and Neonatal Intensive Care Unit to abstract demographic and medical information from electronic systems and documentation sources for both mother and baby. Resolve data discrepancies and assist with state audits to verify data accuracy.
  2. Navigate systems to access pertinent patient information, collaborate with clinicians to ensure completeness of birth data, and clarify ambiguous or out-of-range data by querying physicians and clinicians.
  3. Answer phone calls promptly with appropriate etiquette, update voicemail messages, and follow up with patients as needed.
  4. Educate diverse patient populations on the importance and use of birth data, facilitating completion of forms and acknowledgment of rights and responsibilities.
  5. Work independently to meet deadlines for birth data transmission mandated by state law, ensuring timely submission of all birth and death certificates and related documentation.
  6. Participate in ongoing education to enhance skills and knowledge.
  7. Support paternity establishment processes.
Qualifications
Education
  • High School Diploma or GED (Required)
  • Associate's Degree (Preferred)
Experience
  • Clerical experience in healthcare settings (Preferred)
  • Experience with healthcare computer systems (Preferred)
Licenses and Certifications
  • Registered Health Information Administrator (RHIT) - AHIMA (Preferred)
  • Notary Public - Secretary of the Commonwealth (Required, within 30 days)
