Overview

This role is responsible for providing excellent customer service to patients in preparation of required materials by the Department of Social Services (DSS), Virginia Paternity Establishment Program (VPEP), and the Department of Health (DOH). The role involves providing accurate and timely demographic and medical data to appropriate state agencies to create identification documents for babies and establish legal parentage. The position supports VPEP in maintaining a birth database for research, program planning, and evaluation related to maternal and child health, as well as assisting parents in obtaining legal certificates for their children. The primary functions include data collection and submission.

What you will do
  1. Cover both the Women and Infant Care floor and Neonatal Intensive Care Unit to abstract accurate and complete demographic and medical information from electronic systems and documentation sources for both mother and baby. Problem-solve to identify missing data and clean existing data. Facilitate state audits of hospital records to verify birth data accuracy.
  2. Navigate systems to access patient information relevant to vital record statistics. Collaborate with clinicians to meet standards for birth data completeness. Collect accurate data for the vital records database and query physicians and clinicians to clarify or obtain missing information.
  3. Answer phones promptly, using appropriate etiquette to support positive service experiences. Update voicemail with relevant messages and follow up with patients in a timely manner.
  4. Understand diverse patient care populations and provide education on the importance and use of birth data. Interact with parents to facilitate completion of forms for certificate amendments, reviewing rights and responsibilities during each interaction.
  5. Work independently to meet deadlines for birth data transmission mandated by state law. Ensure all births, including those occurring en route to the hospital, are transmitted to the appropriate agency within required timeframes. Complete and mail birth and death certificates, paternities, and payments.
  6. Participate in continuing education to enhance skills and knowledge.
  7. Support paternity establishment processes.
Qualifications
Education
  • High School Diploma or GED (Required)
  • Associate's Degree (Preferred)
Experience
  • Clerical experience in a healthcare setting (Preferred)
  • Experience with healthcare computer systems (Preferred)
Licenses and Certifications
  • Registered Health Information Administrator (RHIT) - The American Health Information Management Association (AHIMA) (Preferred)
  • Notary Public - Secretary of the Commonwealth (Required, within 30 days)
