Job summary

SEARHC is seeking a Biomedical Coordinator to oversee CMMS/AIMS work orders, maintain equipment records, and ensure documentation accuracy across clinical settings. The role emphasizes data integrity, maintenance planning, and cross-department collaboration with a focus on regulatory readiness.

The coordinator will standardize data structures, manage electronic files, and liaise between Biomed and other departments to support audits and replacement planning.

Qualifications

  • High school diploma or GED required; associate degree preferred.
  • Knowledge of Microsoft Office, electronic files, shared drives, databases, and documentation control practices.
  • Familiarity with CMMS/AIMS, equipment records, and regulatory readiness concepts.

Responsibilities

  • Assign electronic work orders and route requests based on urgency, site needs, and available resources.
  • Coordinate dispatch of emergency work requests and communicate status to Biomed leadership and affected departments.
  • Track outstanding, overdue, deficient, and aging work orders in the CMMS/AIMS system.
  • Run monthly work order statistics and Environment of Care reports; follow up on overdue or deficient items.
  • Maintain the Biomed database and equipment records, including metadata and maintenance history.
  • Standardize nomenclature and improve data structure and usability of the Biomed database.
  • Control data entry quality and manage Biomed electronic files and shared drive content.
  • Support regulatory readiness and timely retrieval of documentation for audits.

Job description

The Biomedical Coordinator provides centralized coordination and control of the Biomed database, CMMS/AIMS work order program, preventative maintenance documentation, equipment records, Biomed electronic files, and related reporting. This position supports documentation accuracy, data integrity, work order routing, regulatory readiness, equipment replacement planning, and cross-department communication for the Healthcare Technology Management / Biomedical Engineering program. The role requires independent judgment, prioritization, problem-solving, and attention to detail because not all operational scenarios can be addressed through pre-prescribed protocols.SEARHC is a non-profit health consortium which serves the health interests of the residents of Southeast Alaska. We offer generous benefits, including retirement, paid time off, paid parental leave, health insurance, dental, and vision benefits, life insurance and long and short-term disability, and more.**Key Essential Functions and Accountabilities of the Job****CMMS / Work Order Program Control*** Assign electronic work orders and route requests based on urgency, site needs, and available resources.* Coordinate dispatch of emergency work requests and communicate status to Biomed leadership and affected departments.* Track outstanding, overdue, deficient, and aging work orders in the software platform.* Run monthly work order statistics, Environment of Care equipment failure reports, and related CMMS/AIMS reports.* Follow up with management, BMETs, and department contacts regarding overdue or deficient work orders.* Serve as liaison between the Biomed department and the broader organization for work order and documentation workflows.**Database, Asset Records, and Documentation Control*** Maintain the Biomed database and equipment records, including metadata, equipment history, preventative maintenance records, and documentation required for replacement planning.* Standardize nomenclature and improve the structure, accuracy, and usability of the Biomed database.* Control data entry quality into the CMMS/AIMS system and related electronic preventive maintenance tracking tools.* Manage Biomed electronic files and shared drive content, including service manuals, user manuals, survey documentation, and department records.* Maintain organized documentation for clinical equipment used across hospitals, clinics, remote sites, and supported non-SEARHC locations.**Regulatory, Survey Readiness, and Reporting*** Support DNV, CMS, and Alaska State Regulations survey readiness and timely retrieval of documentation for audits, Environment of Care reporting, and equipment failure reporting.* Provide a single coordination point for CMMS/AIMS data quality, equipment records, reporting, and survey-ready documentation.* Improve consistency of asset information, preventative maintenance records, overdue work order follow-up, service manual organization, and replacement planning data.**Department Coordination, Purchasing, and Replacement Planning*** Maintain the Biomed electronic calendar, including travel, field trips, and training logistics.* Support onboarding, competency tracking logistics, training scheduling, and department administrative coordination.* Prepare and maintain equipment replacement information for capital equipment replacement planning.* Help create and maintain systems for equipment purchases, purchase tracking, receipt documentation, P-card ordering, and Finance capitalization tracking.* Improve coordination between Biomed, Facilities, clinical departments, Finance, and supported non-SEARHC locations as applicable.Perform other duties as assigned based on facility, department, and clinical operational needs.**Education, Certifications, and Licenses Required*** High school diploma or GED required.* Associate degree preferred.* Valid driver’s license required; must remain insurable under the SEARHC automobile insurance policy.**Knowledge of*** Microsoft Office, basic computer systems, electronic files, shared drives, databases, and documentation control practices.* Biomedical equipment documentation, equipment inventory practices, preventative maintenance concepts, and service record expectations.* Healthcare documentation standards, regulatory readiness expectations, safe work practices, privacy, and information security requirements.**Skills in*** Organization, time management, written communication, verbal communication, and professional follow-up.* Prioritizing service requests, documenting actions taken, tracking open items, and escalating issues appropriately.* Maintaining accurate records, improving data quality, and supporting audit-ready documentation.**Ability to*** Assess and prioritize multiple tasks, projects, work requests, and competing demands.* Work independently as a self-starter while coordinating professionally with clinical, technical, and non-technical users.* Maintain focus and attention to detail when working within electronic files, equipment records, and databases.* Identify safety hazards in healthcare and field settings and escalate concerns appropriately.* Use judgment and problem-solving skills when established protocols do not fully address the situation.**Computer Skills*** Proficient in Microsoft Office products including Word, Excel, Outlook, PowerPoint, and Microsoft 365 applications.* Working knowledge of CMMS/AIMS, electronic work order platforms, shared drives, electronic documentation systems, and basic database functions preferred.**Travel Required*** Must be able to travel occasionally to SEARHC facilities as needed.* Travel may be by jet, small aircraft, ferry, or vehicle depending on location and operational need.
