Job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Billing Supervisor based in the United States.

This remote leadership opportunity is ideal for an experienced legal billing professional who combines strong financial expertise with hands-on team management. As Billing Supervisor, you will oversee a team of Billing Coordinators supporting firmwide billing operations for Digital Assets and Data Management services. You will balance supervisory responsibilities with direct billing assignments, ensuring accurate, timely, and compliant invoicing across multiple stakeholders. Working closely with attorneys, administrative staff, and billing leadership, you will help resolve operational issues, strengthen processes, and maintain high service standards. The role requires a detail-oriented, adaptable leader who can manage competing priorities, support employee development, and identify billing discrepancies before they affect financial performance. You will contribute to a collaborative professional environment where accuracy, discretion, and client service are essential.

Accountabilities
  • Team Supervision: Coordinate and supervise Billing Coordinators, providing first-level guidance on billing questions, daily operational challenges, and workflow priorities.
  • Staff Development: Participate in employee coaching, performance feedback, and reviews, and provide training and support to strengthen team capabilities.
  • Team Communication: Conduct regular team meetings to discuss ongoing assignments, operational concerns, billing priorities, and organizational updates.
  • Scheduling and Timekeeping: Monitor staff schedules and attendance, coordinate coverage, process overtime and time-off requests, and approve timecards through the firm's time management system.
  • Operational Coordination: Serve as a point of contact for secretaries and other internal stakeholders, helping resolve billing-related issues and maintain smooth day-to-day operations.
  • Hands-On Billing Support: Maintain an appropriate portfolio of Billing Coordinator assignments while supervising the broader team and supporting the firm's billing operations.
  • Billing Process Improvement: Assist with the development and implementation of billing procedures, practices, and workflow improvements.
  • Invoice Tracking: Monitor regionally assigned bills and coordinate with billing attorneys and assistants to ensure invoices are completed within established deadlines.
  • Billing Audits and Controls: Review work-in-progress matters, cost credits, negative invoices, manual invoices, payment applications, rate overrides, exception codes, zero pro formas, and closed matters to identify discrepancies and areas requiring attention.
  • Accuracy and Compliance: Apply accounting principles and internal controls to support accurate billing, appropriate financial records, and consistent operational practices.
  • Cross-Functional Collaboration: Build effective working relationships with attorneys, partners, clients, administrative professionals, and billing colleagues while maintaining responsiveness, tact, and professionalism.
  • Additional Responsibilities: Take on other duties as requested to support departmental objectives and ensure billing operations remain effective.
Requirements
  • Education and Experience: Associate degree from a two-year college and at least seven years of related legal billing experience. An equivalent combination of education and experience may substitute for the education requirement.
  • Legal Billing Expertise: Experience in a fast-paced law firm environment is highly desirable, along with knowledge of billing department operations and insurance-based billing.
  • Supervisory Experience: Ability to organize, coordinate, and supervise staff, provide constructive feedback, manage workloads, and encourage collaboration and accountability.
  • Billing Software: Proficiency with Elite 3E billing software and various electronic billing vendor platforms is preferred.
  • Technical Skills: Demonstrated proficiency in Microsoft Office, particularly Word, Outlook, and Excel, with strong data entry skills and the ability to learn new software applications.
  • Accounting Knowledge: General understanding of accounting principles, internal controls, and mathematical calculations involving whole numbers, fractions, and decimals.
  • Analytical and Problem-Solving Skills: Ability to investigate billing issues, collect and interpret data, identify discrepancies, evaluate options, and make sound independent decisions.
  • Communication Skills: Strong written and verbal communication skills, including the ability to explain information clearly, prepare routine correspondence, present updates, and respond professionally to questions or complaints.
  • Relationship Management: Ability to maintain effective working relationships with partners, attorneys, clients, and staff through diplomacy, discretion, responsiveness, and a strong service-oriented approach.
  • Project and Team Management: Strong organizational and project management skills, with the ability to lead teams, build consensus, coordinate priorities, and remain hands‑on when needed.
  • Planning and Time Management: Excellent attention to detail and the ability to prioritize multiple assignments, manage interruptions, and meet strict deadlines in a fast-paced, matrixed environment.
  • Confidentiality and Professional Judgment: Ability to exercise discretion when handling sensitive information and demonstrate sound judgment, flexibility, and professionalism under pressure.
  • Work Schedule Flexibility: Willingness to work overtime when necessary; the position may require more than 40 hours per week to meet essential responsibilities.
  • Remote Work Readiness: Ability to manage responsibilities effectively in a remote working environment while maintaining clear communication and coordination with colleagues.
Benefits
