This role emphasizes billing accuracy, accounts receivable monitoring, and collaboration with Client Execs to maintain smooth financial workflows. Attention to detail and billing software knowledge are valued in this position.

Qualifications

• 2-year post-high school education required.
• Experience in the engineering/construction industry preferred.
• Deltek-Vantagepoint or similar software experience preferred.

Responsibilities

• Assist with project initiation and setup in Vision, ensuring contract terms and contacts are accurate.
• Review new project contracts for unusual terms affecting billings.
• Request billing information from team members and review for accuracy.
• Prepare monthly client billings and review for accuracy and completeness.

IMEG is hiring a Billing Specialist to join our Finance & Accounting Team. In this role, you will serve as the primary liaison between assigned teams and the Accounting Department, while building working relationships with Client Execs and other key team members. This position has primary responsibility for team billing and accounts receivable monitoring, along with project setup, client communication, timesheet and expense review, and sub consultant invoice processing. You will help keep commercial and financial workflows accurate, timely, and well coordinated across the teams you support.

What You’ll Do

• Assist with project initiation and setup in Vision, ensuring commercial contract terms and contacts are accurate


• Review new project contracts for unusual terms or structures that may affect billings


• Request billing information from team members and review it for accuracy and completeness


• Prepare monthly client billings for team projects, reviewing for accuracy and completeness


• Monitor team accounts receivable and follow up with team members and/or clients on unpaid amounts


• Manage communication and correspondence with clients regarding commercial matters


• Develop professional working relationships with Client Execs and other assigned team members


• Review and approve timesheets and expense reports for team members


• Enter sub consultant invoices, track payment terms, and approve invoices for payment when due


• Meet with assigned teams at their primary office location at least two times a year


• Maintain confidentiality of all corporate, personnel and project/client related material

What You’ll Bring

Education and Experience

• 2-year post-high school education


• Experience in the engineering and/or the construction industry is preferred


• Prior billing experience and knowledge of Deltek-Vantagepoint or similar software is preferred but not required

Skills and Abilities

• Strong interpersonal skills


• Strong bookkeeping background


• Has customer service abilities and attitude


• General understanding of electronic billing


• Ability to read contracts and follow contract requirements regarding commercial terms


• Strong attention to detail and organizational skills


• Able to adapt to a fast-paced environment


• Proficient in Microsoft and MS Office Suite including but not limited to Word, Excel, and Outlook


• Ability to travel up to 10% with occasional overnight stays

State of Virginia Pay Range: $27.00-$30.00 per hour

The range listed above represents the base pay IMEG reasonably and in good faith expects to pay for this position in the work location identified above at the time of posting. For positions available in multiple locations, the minimums and maximums may vary based on work location.

Individual compensation will be determined based on job-related factors, including the candidate's experience, education, knowledge, skills, abilities, and licensure and certifications. Other rewards may include annual bonuses and stock ownership options.
