Responsible for accurate and timely billing for assigned North America capital and clinical services accounts. The coordinator reviews billing requirements, resolves invoice exceptions with business partners, and maintains clear billing records to support customer invoicing and period-end activities.

Key Responsibilities

  • Process capital down payment and periodic invoices according to customer agreements, billing plans and approved billing requirements.

  • Prepare and process CTSI and AOS clinical services invoices in SAP and Unity, including recurring monthly billing and manual invoicing where required.

  • Review contracts, billing schedules and supporting documents to confirm invoice amounts, dates, customer information and applicable purchase order requirements before billing.

  • Review billing due lists and assigned billing reports; investigate unbilled items, billing blocks, missing information and discrepancies, and coordinate resolution with the responsible teams.

  • Validate invoice amounts and billing information across SAP, Unity and customer agreements; work with business owners to correct discrepancies.

  • Send invoices to the appropriate customer contacts and submit invoices through customer portals when required, retaining supporting records.

  • Investigate billing inquiries and support invoice corrections, cancellations and rebilling in accordance with approved procedures and required authorization.

  • Partner with Order Management, Contracts, Sales, Clinical Services, Collections, Accounting and IT to resolve billing issues and support accurate customer invoicing.

  • Maintain recurring billing reports and exception records, follow up on outstanding actions, and accelerate issues that could delay invoicing.

  • Complete assigned billing activities within monthly, quarterly and fiscal year-end deadlines.

  • Document billing procedures and provide backup support for other capital billing activities after training.

  • Participate in process improvements and system testing related to billing accuracy, automation and efficiency.

Required Qualifications

  • Associate degree or college diploma in Accounting, Finance, Business Administration or a related field, or an equivalent combination of education and relevant work experience.

  • At least 2 years of experience in billing, invoicing, accounts receivable or related financial operations.

  • Experience using an ERP system to process customer invoices and review order or contract information.

  • Proficiency in Microsoft Excel, including filtering, sorting, lookups and PivotTables, and comfort reviewing and reconciling billing data.

  • Strong attention to detail and ability to identify discrepancies in invoice amounts, billing schedules and customer information.

  • Ability to manage recurring deadlines, prioritize multiple tasks and follow issues through to resolution.

  • Clear written and verbal communication skills and ability to work effectively with cross-functional teams.

  • Ability to learn new systems and procedures and work independently within established billing controls.

Preferred Qualifications

  • Hands-on SAP experience, particularly customer billing, sales orders and billing plans.

  • Experience with Salesforce or Unity, customer invoice portals such as Coupa, or similar billing platforms.

  • Experience with capital equipment milestone or periodic billing, recurring contract billing, or clinical services invoicing.

  • Experience supporting invoice cancellations and rebilling, billing reconciliations and period-end activities.

  • Experience in healthcare, medical technology or another business with complex customer contracts.
