Job summary

ACCO Engineered Systems seeks a detail-oriented Billing Associate to support the Facility Service Operations Manager in timely costing and invoicing for service work and projects.

You will review descriptions, costs, and billings, coordinate with service sales and PMs, maintain customer data, and ensure accuracy before posting. This hands-on role emphasizes organization, communication, and diligent follow-through.

Qualifications

• 1-2 years of computerized billing and data entry experience.
• Experience with IFS or similar invoicing systems.
• Proficient in Microsoft Windows, Excel and Word.
• Excellent writing and verbal communication skills.
• Self-starter with strong work ethic and initiative.
• Very organized with ability to multitask.
• Construction industry experience is a plus.
• Knowledge of IFS database is a plus.

Responsibilities

• Process service calls and small project invoicing with accurate costing and markups.
• Prepare billing descriptions, costs, and sell prices with details of material and work performed.
• Ensure billing batches are reviewed by management before posting.
• Interface with service sales to ensure timely and accurate billing.
• Support PMs and technicians with billing information updates.
• Monitor outstanding work orders and identify billable items in the system.
• Process credits and rebills as needed for adjustments.
• Maintain customer information including purchase orders and master files.
• Send invoices by mail, email, or online portal.
• Review quoted and service call work orders for billing readiness.
• Close aging work orders per management guidance.
