Kajy Law Firm is seeking a detail-oriented and organized Billing Coordinator to support the firm's billing and invoicing processes. This role is responsible for gathering expenses, and client-related charges from attorneys and staff, verifying accuracy, and assisting with the timely preparation and distribution of client invoices.

Key Responsibilities

  • Collect and review all client bills and expenses from attorneys and legal staff.
  • Verify accuracy and completeness of time entries, client codes, and expense documentation.
  • Communicate with attorneys and support staff to resolve discrepancies or missing information.
  • Assist in drafting pre-bills and client invoices using the firm’s billing software (e.g. NEOS, Timeslips, Aderant, Clio, or similar).
  • Ensure compliance with client billing guidelines and firm policies.
  • Track and follow up on unsubmitted or late time entries to ensure billing deadlines are met.
  • Maintain organized billing records and electronic filing systems.

Qualifications

  • Prior experience in a billing, administrative, or legal assistant role (law firm experience strongly preferred).
  • Proficiency in billing software and Microsoft Office (especially Excel and Word).
  • Excellent attention to detail and strong organizational skills.
  • Ability to handle confidential financial and client information with discretion.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Familiarity with legal timekeeping and billing procedures is a plus.

Preferred Experience

  • 1–3 years of experience in a billing or accounting role, ideally within a legal or professional services environment.
  • Knowledge of legal billing platforms (e.g. NEOS, LEAP, Clio, Timeslips, Elite, or Aderant).

Experience working with e-billing platforms or third-party billing systems (e.g., LEDES).
