Billing and Reimbursement Customer Service Representative

Clarity Clinic is an interdisciplinary private practice comprising Psychiatrists, Psychiatric Advanced Practice Providers (PAs, NPs), Psychologists, and Therapists. Our mission is to guide individuals toward clarity and mental wellness through holistic care. Our team offers a wide range of specialties, including psychiatry, psychotherapy, and more, to support diverse needs.

We are seeking a Customer Service Representative for our Billing and Reimbursement department. This position is fully remote within Illinois, and candidates must reside in Illinois.

In This Role, You Will
  • Maintain confidentiality and professionalism when interacting with patients.
  • Handle incoming calls and voicemails promptly and courteously, de-escalating dissatisfied customers when necessary.
  • Assist billing staff with office duties such as pulling notes, EOBs, and payment receipts.
  • Manage patient billing emails and portal messages, ensuring prompt resolution.
  • Act as a liaison between billing and operations regarding patient balance inquiries.
  • Manage Self-Pay Accounts Receivable and accounts with credit cards on file.
  • Collect and post patient payments, supporting collection processes.
  • Review accounts for collection eligibility.
  • Identify credits and refunds for patients and insurance.
  • Create and oversee patient payment plans.
  • Manage weekly statement files and handle return mail.
  • Process secondary claims to insurance, attaching primary EOBs.
  • Send collection letters to insurance and patients as instructed.
  • Perform additional tasks as assigned.
  • Adhere to confidentiality and legal compliance, including HIPAA, ADA, OSHA, and FLSA.
  • Attend meetings and participate in training as required.
  • Adapt positively to organizational changes.
Minimum Requirements
  • BS/BA degree preferred; or two years of medical billing and customer service experience.
  • Experience with high-volume phone and email communication.
  • Bilingual skills are a plus.
