Responsibilities
  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Open, sort, and distribute incoming mail and correspondence promptly.
  • Maintain organized filing systems, records, and office documentation.
  • Assist with special projects and other administrative tasks as assigned.
  • Prepare and process customer invoices and billing documents accurately and on time.
  • Enter and maintain accounts payable (AP) information with a high level of accuracy.
  • Assist with payment tracking and vendor communications to ensure timely payments.
  • Support accounting functions by maintaining accurate financial records and documentation.
  • Collect, review, and submit employee payroll information in accordance with established procedures.
  • Ensure timesheets and payroll records are submitted accurately and on schedule.
  • Coordinate employee schedules and assist with workforce scheduling as needed.
  • Maintain employee records and related administrative documentation in an organized manner.
  • Provide administrative support to project managers and field teams.
  • Assist with project documentation, reports, and tracking to support project delivery.
  • Coordinate meetings, appointments, and project-related communications.
  • Support contract administration and document management activities, ensuring proper organization and accessibility.
Essential Skills
  • High school diploma or equivalent.
  • 2+ years of experience in an administrative, office coordinator, or office manager role.
  • Experience with billing, payroll processing, and accounts payable data entry preferred.
  • Proficient with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong data entry skills with excellent attention to detail.
  • Experience with invoicing, accounts receivable, and accounts payable processes.
  • Ability to manage multiple tasks and deadlines effectively in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and ability to maintain accurate records and documentation.
  • Comfort working with accounting software and spreadsheets, including Excel data entry and 10-key.
  • Ability to provide professional administrative support, including order entry and work order processing.
Additional Skills & Qualifications
  • Associate's degree preferred.
  • Construction, industrial, or contracting industry experience is a plus.
  • Familiarity with accounting or construction management software.
  • Experience with service-related environments, insurance, and service calls is beneficial.
  • Understanding of cost and pricing concepts related to billing.
  • Strong customer service and problem-solving skills.
  • Ability to prioritize tasks and work independently with minimal supervision.
  • Professional demeanor and positive attitude.
  • Comfort working in a small office setting and supporting both office and field teams.
Work Environment

This role is based in an office setting, working approximately 30 hours per week, Monday through Friday from 8:00 a.m. to 3:00 p.m., with some flexibility on start time. The position is in a small office where the Billing Administrator will work alone most of the time, requiring comfort with independent work and self-management. The environment is professional yet relaxed, with a casual dress code such as jeans and a nice shirt. Work involves regular use of computers, Microsoft Office applications, accounting software, and standard office equipment in support of construction-related operations.

Job Type & Location

This is a Contract to Hire position based out of Fresno, CA.

Pay And Benefits

The pay range for this position is $23.00 - $27.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
