  • Manage document organization, naming conventions, revision control, distribution, and archival of safety-related documentation.
  • Collect, organize, and track subcontractor safety documentation, including required plans, forms, training records, certifications, and project deliverables.

  • Assist the safety team with preparing and distributing safety forms, reports, alerts, notices, and program documentation.
  • Maintain logs and supporting documentation related to incidents, observations, inspections, corrective actions, and other safety activities.
  • Track open corrective actions and administrative follow-up items to ensure required documentation is completed and closed.
  • Compile information for weekly and monthly safety reports, dashboards, metrics, and client/management reporting.
  • Perform routine data entry and quality-control reviews to ensure safety records are complete, accurate, and up to date.
  • Prepare meeting materials, agendas, sign-in sheets, minutes, and action-item trackers.
  • Coordinate scheduling for safety training, meetings, orientations, and other project safety activities.
  • Maintain controlled copies of applicable project safety plans, procedures, policies, forms, and client/General Contractor (GC) requirements.
  • Ensure the site safety team has access to the most current revisions of company, project, and client documentation.
  • Retrieve and organize records for internal reviews, client requests, audits, investigations, and compliance requirements.
  • Maintain organized records of safety-related correspondence received from project stakeholders.
  • Communicate and coordinate with project management, field supervision, subcontractors, HR/recruiting, and safety leadership to resolve documentation and onboarding issues.
  • Provide additional administrative support to the project safety department as project needs evolve.
